Required Skills & Qualification
•Minimum 6-8 years of experience •Proven experience as an executive assistant, administrative assistant, or similar role supporting senior leaders. •Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) with a strong emphasis on data analysis and reporting tools. •Exceptional written and verbal communication skills, with the ability to synthesize information into clear, concise reports and presentations. •Strong organizational, time management, and multitasking abilities. •High level of integrity, confidentiality, and discretion in handling sensitive information. •Attention to detail and a commitment to accuracy in all tasks and reports. •Ability to work independently and as part of a team in a fast-paced environment. •Bachelor’s degree in Business Administration, Communications, or a related field preferred.Roles & responsibilities
Role Description: The Executive Assistant serves as a vital partner to senior executives, providing comprehensive administrative and organizational support to ensure the seamless operation of executive activities. This role requires exceptional attention to detail, strong communication abilities, and a proactive approach to problem-solving. A key component of this position is the ability to deliver high-quality reports that inform decision-making and track critical business metrics.
• •Manage complex and dynamic calendars, including scheduling internal and external meetings, appointments, conferences, and events. •Arrange domestic and international travel itineraries, booking flights, accommodation, and transportation; prepare detailed travel packs with relevant documents and contacts •Prepare, edit, and proofread correspondence, presentations, and other executive-level documents •Compile, analyze, and deliver regular and ad hoc reports for leadership, ensuring data is accurate, relevant, and clearly presented. •Maintain and organize confidential files, records, and documentation. •Track deadlines, follow up on pending issues, and ensure timely completion of assignments. •Serve as a liaison between executives and internal/external stakeholders, demonstrating discretion and professionalism in all interactions. •Support the execution of projects by gathering information, monitoring progress, and summarizing outcomes in detailed reports. •Attend key meetings, record minutes, and create summary reports highlighting action items and decisions.Assist with the preparation of budgets, expense reports, and financial
Travel Co-Ordination
- Responsible for managing international travel includes Flights /Forex/Travel Insurance/ Visa – PR/PO Process, Update trackers for designated team.
- Assist with travel modifications and cancellations as needed.
- Act as the main contact for travel-related inquiries, including policy questions, code usage, and expense reimbursements. Provide guidance to employees on travel policies and procedures.
- Ensure all travel arrangements adhere to the company’s policies.
- Work with employees to determine the type of international travel, obtain necessary supporting documents and approvals received by employees. Update repository.
