Context
Technology Transformation and Change
The Technology Transformation and Change Team delivers on the Digital and Technology Transformation ambitions for our Firm. It is a team which includes the Technology PMO function, change management experts, our Source team and a team of programme and project managers who deliver the technology projects and programmes for the Firm. The team’s mission is to provide expert execution to all projects, large or small, agile or waterfall across a wide range of applications; accelerating technological change and delivering impact. The team brings together multi-disciplinary stakeholders to execute technology projects and programmes through the full project lifecycle and enable robust delivery of our technology projects and programmes across our existing portfolio and in support of our future digital strategy.
Project and programme management
The Project and Programme management team have a breadth and depth of experience covering the successful delivery of technology. The Project and programme management team deliver on the Digital Transformation ambitions for our business and the wider Firm, supporting the digital strategy. The team provides a community of practice that shares knowledge and drives excellence through a strong community of Project/Programme Managers who are experts in delivery of Technology projects and programmes. The team acts as a Centre of Excellence and sets the benchmark for complying with the standards for delivery, adopting agile methodologies, modern tooling and championing the firm’s governance.
The Role
We are looking for an experienced Portfolio PMO Manager and will report directly into the Technology Head of PMO. You will:
Build strong working relationships with the Practice lead, portfolio leads, project and programme managers and PMO members delivering the technology projects and programmes. Foster collaboration and help to join up delivery to drive greater connectivity and consistency across Group Digital
Work closely with Head of TPMO to identify and promote best practices for delivering tech projects, streamline processes, identify areas of focus, and lead new capability initiatives to promote excellence and ongoing maturity of the TPMO service.
Recognise emerging business needs through direct engagement in strategic planning; perform ongoing evaluation of TPMO capabilities, to identify gaps and inform future development activities within the TPMO function.
Provide guidance to monitor and develop effectiveness of TPMO quality controls that drive insights to better support senior management and leadership in decision making.
Drive and own cadence around reporting requirements to feed required dashboarding.
Drive adoption and consistent application of best-in-class project management methodology, templates, processes, and tools as appropriate (e.g. Microsoft Project online, SharePoint, JIRA, PowerBI etc).
Collaborate with GCS stakeholders to align on PM tooling for project delivery with the focus to drive efficiency and improved user experience.
Support project PMO resources working across all technology projects and programmes, providing support/training and oversight to ensure consistent application of project management methodology, processes, and tools.
Support as required on Digital dependencies mapping and roadmap, help identify areas needing alignment across the projects and programmes and drive the right conversations to resolution across EWT and other capability areas such as KBS.
Oversee and drive governance and process improvements based on Assurance recommendations.
Work with technology projects and programmes to ensure the appropriate programme benefits are identified, quantified and their realisation planned.
Following the in-house project lifecycle and quality standards you will work with other functions within Group Digital and other capabilities within the firm to ensure key project components are put in place with a key focus on strict change control. You will need an eye for detail, ability to shape and drive key activities forward and to think outside of the box with new innovative ways of working.
Work with Head of TPMO and Practice to develop out Enhanced BAU methods and practices to support Digital strategy
Key Responsibilities
Supporting project teams through the provision and coordination of a range of standardised PMO services. Key activities include:
Delivery Framework Controls and Compliance
Lead on compliance checking activities to ensure TTC processes, artefacts are guidance are being effectively used in your project/programme, feeding back areas for potential improvement
Ensure compliance with broader governance requirements inside / outside of TTC (i.e., Stage Gates, TAG, Security, Investment Committee, etc, etc)
Provide guidance to monitor and develop effectiveness of TPMO quality controls that drive insights to better support senior management and leadership in decision making.
Ensure regular review and update of artefacts, including but not limited to business case, roles and responsibilities, RACI, financial forecasts, resourcing, RAID etc.
Ensure project close activities are managed, ensure lessons learned are identified and formal closure activities are completed in a timely manner including post-implementation review.
Reporting and tooling
Drive and own cadence around reporting requirements to feed required dashboarding.
Drive adoption and consistent application of best-in-class project management methodology, templates, processes, and tools as appropriate (e.g. Microsoft Project online, SharePoint, JIRA, PowerBI etc).
Collaborate with GCS stakeholders to align on PM tooling for project delivery with the focus to drive efficiency and improved user experience.
Act as a point of contact for project managers, delivery PMO and workstream leads to troubleshoot tooling issues
Team management and delivery support
Support project PMO resources working across all technology projects and programmes, providing support/training and oversight to ensure consistent application of project management methodology, processes, and tools.
Work with technology projects and programmes to ensure the appropriate programme benefits are identified, quantified and their realisation planned.
Act as a point of contact for project managers, delivery PMO and workstream leads to notify of projects turning red in terms of overall health.
Governance and continuous improvement
Oversee and drive governance and process improvements based on Assurance recommendations.
Work with Project management community to land change into terms of ways of working to troubleshoot and help ensure successful adoption
Define and shape new ways of working and processes which need to be stood up. (Define, design and deploy)
Ensure a central repository of Lessons Learnt is maintained and accessible to all
Work with Head of TPMO and Practice to develop out Enhanced BAU methods and practices to support Digital strategy
Oversee and drive governance and process improvements based on Assurance recommendations.
The Person
Essential skills and experience
Demonstrable PMO expertise with evidence of experience of having supported projects from conception to closure
Excellent Stakeholder management skills and experience, with the ability to work positively with the full range of individuals and groups and capable of developing and maintaining effective working relationships.
Good knowledge of budgeting and resource allocation procedures
Driven and enthusiastic with a ‘can-do’ attitude and a strong sense of ownership to get the job done in a practical and pragmatic fashion
Good knowledge of techniques for planning, monitoring, data analysis and controlling projects, including risk management
Good to advanced Excel skills with the ability to present detailed and fast-moving information in a simple and effective manner
Good knowledge of project management approaches
Highly organised, confident, self-starter who can help shape the role
Ability to find innovative ways of solving or pre-empting problems
Resilient and tenacious with a propensity to persevere and flex approach where needed
Proven written and oral communications skills and strong interpersonal skills that can be executed credibly to inspire confidence

Desirable skills and experience
Experience of project and programme management approaches, specifically APM, Microsoft Project and agile methodologies
Experience of working on projects such as transformation/large programmes of change with multiple stakeholders
Experience of working in large organisations
