Job Summary

 

The Workplace Manager – Soft Services is responsible for overseeing and managing all soft services within the facility, including housekeeping, pantry, waste management, pest control, landscaping, front office, mailroom, and other support services. The role ensures that service providers and in-house teams deliver high standards of cleanliness, hygiene, safety, and customer experience in line with contractual obligations and organizational policies. The Assistant Facility Manager works closely with the Facility Manager, vendors, and client stakeholders to maintain a seamless workplace environment, drive service excellence, and implement continuous improvement initiatives.

 

Job Responsibilities

 

·       Oversee day-to-day delivery of soft services including housekeeping, pest control, mailroom, landscaping, and waste management.

·       Ensure workplace cleanliness, hygiene, and safety standards are consistently maintained.

·       Conduct regular walkthroughs and audits to ensure service quality.

·       Manage third-party vendors and in-house staff for soft services.

·       Monitor performance against SLAs/KPIs and escalate deviations when required.

·       Support recruitment, training, and rostering of soft services staff.

·       Act as the first point of contact for client queries related to soft services.

·       Ensure customer experience is consistently positive through proactive service delivery.

·       Coordinate with other service lines (engineering, security, transport, etc.) for smooth operations.

·       Conduct daily/weekly inspections to track quality of services.

·       Collect client/employee feedback and implement improvement initiatives.

·       Drive sustainability practices in waste management, water, and energy use within soft services.

·       Assist in managing budgets for consumables, cleaning materials, pantry supplies, and vendor services.

·       Track soft services expenses and ensure cost optimization.

·       Support Facility Manager in vendor contract renewals and negotiations.

·       Maintain daily/weekly/monthly reports on manpower, services delivered, and compliance checklists.

·       Track SLA performance metrics and present reports to the Facility Manager and client.

·       Document SOPs, process updates, and incident logs.

 

 

Qualifications

 

·       Bachelor’s degree in Hotel Management, Hospitality, Facilities Management, Business Administration, or a related field.

·       3 - 5 years of experience in facility management, hospitality, or soft services operations.

·       Proven experience in managing housekeeping, pantry, landscaping, pest control and Waste management services.

·       Exposure to working with corporate offices, large campuses, or high-end hospitality environments preferred.

·       Experience in vendor management, client engagement, and SLA/KPI monitoring.

·       Strong knowledge of soft services operations and industry best practices.

·       Good understanding of workplace health, hygiene, safety, and compliance requirements.

·       Proficiency in MS Office, CAFM/CMMS tools, and reporting dashboards.

·       Excellent communication, client-handling, and stakeholder management skills.

·       Ability to manage large vendor teams and multi-location operations.
