Workplace Occupancy Planner

Key Responsibilities:

Space Planning:

  • Develop and implement space planning strategies to optimize space utilization and layout efficiency.
  • Collaborate with internal and external stakeholders to understand space requirements and develop functional floor plans.
  • Prepare and update space allocation guidelines, design standards, and occupancy metrics.
  • Conduct workplace assessments to identify opportunities for improvement and propose innovative space solutions.

Occupancy Management:

  • Oversee the tracking and management of occupancy data and metrics, including occupancy rates and utilization statistics.
  • Monitor lease expirations, occupancy dates, and provide proactive planning to ensure smooth transitions and minimal downtime.
  • Liaise with internal departments and external vendors to coordinate moves, adds, changes, and furniture reconfigurations.
  • Ensure compliance with space utilization policies, safety regulations, and industry standards.

Stakeholder Management:

  • Collaborate with internal business units, real estate teams, architects, and external consultants to understand space requirements and align plans accordingly.
  • Act as a liaison between the CRE team, facility management, and business units to meet space needs and resolve occupancy-related issues.
  • Provide guidance on space planning best practices and present recommendations to stakeholders.

Technology and Tools:

  • Leverage space management software and technology tools to develop accurate space plans, track occupancy data, and generate reports.
  • Stay abreast of industry trends and emerging technologies related to space planning, occupancy optimization, and workplace innovation.

Budgeting and Reporting:

  • Develop and manage budgets related to space planning activities, furniture procurement, and occupancy costs.
  • Prepare regular reports on space utilization, occupancy trends, and key performance indicators (KPIs) for management review.

Qualifications and Skills:

  • Bachelor’s degree in architecture, Interior Design, Facility Management, or a related field (master’s degree preferred).
  • Proven experience in space planning, occupancy management, or related roles within the commercial real estate industry.
  • Strong knowledge of space planning principles, workplace design concepts, and industry standards.
  • Proficiency in using space management software, Computer-Aided Design (CAD) tools, and Microsoft Office Suite including advanced Excel, Power BI and PowerPoint skills. Professional Certification in Advance Excel & Power BI is a MUST.
  • Excellent analytical and problem-solving abilities with attention to detail.
  • Exceptional communication and interpersonal skills to collaborate effectively with stakeholders.
  • Project management skills to manage multiple initiatives simultaneously and meet deadlines.
  • Knowledge of local building codes, regulations, and ADA requirements related to space planning and occupancy management.
