Job Description Job Title: HR Office Assistant Location: Site-Based (Upper Thane) Department: Human Resources & Administration Reporting To: Site HR Job Summary The HR Office Assistant will provide administrative, operational, and infrastructure support at site locations. The role involves coordination with cross-functional teams, maintaining site facilities, supporting HRMS activities, managing stock and housekeeping, and assisting in smooth execution of site-level operations and events. 1. Administrative & HR Support • Provide administrative support for HRMS activities. • Assist in PIN generation coordination with CM, HPM, and Sales Billing teams (Upper Thane). • Collate and maintain compliance dashboards. • Support documentation and asset collection from Head Office. • Maintain accurate records related to site administration. 2. Infrastructure & Facility Management • Oversee infrastructure and facility upkeep at site offices. • Assist in site MEP (Mechanical, Electrical & Plumbing) maintenance coordination. • Ensure proper housekeeping management of project offices (Washrooms, Cafeteria, Reception, Overall Office Space). • Monitor BVG attendance and conduct regular site hygiene checks. 3. Stock & Material Management • Maintain stock records of stationery and housekeeping materials. • Handle complete stationery management including tracking, issuance, and replenishment. • Manage tea, coffee, and other consumables inventory with proper data management and usage tracking. • Ensure timely distribution of stationery and HK materials. • Manage ORS/Detox material availability at sites. • Track and maintain inventory levels to prevent shortages. 4. Operations Coordination • Coordinate with CM, HPM, and Sales Billing teams for PIN generation. • Assist in bus and vehicle management at sites. • Support smooth operational functioning of site offices. 5. Event & Engagement Support • Assist in planning and execution of site events and celebrations. • Coordinate logistics for HR and site-level engagement activities. Key Skills & Competencies • Strong coordination and communication skills. • Good record-keeping and documentation ability. • Basic knowledge of HRMS systems. • Ability to manage multiple site-level responsibilities. • Attention to hygiene, compliance, and operational standards.
