Job Title: Office AssistantJob Overview:We are seeking a highly organized and proactive Office Assistant to join our team. The ideal candidate will support the smooth functioning of our office operations, primarily focusing on railway electrification and site commissioning projects. The role involves a mix of administrative, coordination, and communication responsibilities.

  1. Key Responsibilities:Administrative Tasks:

  • Drafting and typing official letters, emails, and other documentation.
  • Maintaining organized records and files for company correspondence and project-related documents.
  1. Procurement Support:

  • Preparing and placing purchase orders for project materials and supplies.
  • Coordinating with vendors to ensure timely delivery of materials.
  1. Inventory Management:

  • Maintaining and updating inventory records for project materials and office supplies.
  • Monitoring stock levels and coordinating restocking as needed.
  1. Site Coordination:

  • Communicating with site teams to collect and document site reports.
  • Providing updates on project progress and addressing site requirements.
  1. Billing and Financial Support:

  • Preparing and verifying bills/invoices for submission to railway authorities.
  • Ensuring accurate documentation of project-related financial transactions.
  1. Client and Stakeholder Interaction:

  • Communicating effectively with railway authorities and vendors as required.
  • Addressing queries and ensuring timely resolutions.
  • Qualifications:Education: Bachelor's degree in Commerce, Business Administration, or any related field. (Candidates with relevant experience can also apply.)
  • Skills:Proficiency in MS Office (Word, Excel, and Outlook).
  • Good typing speed and accuracy.
  • Strong communication skills (both written and verbal).
  • Basic understanding of billing and inventory management.
  • Experience: 1–3 years of office/administrative experience (preferred).
