Management Assistant – Job Role & Responsibilities
Job Role Overview
A Management Assistant supports senior management and department heads by handling administrative, coordination, and communication tasks. The role ensures smooth daily operations, efficient workflow, and timely completion of management activities.
Key Responsibilities
1. Administrative Support
Manage calendars, schedule meetings, and coordinate appointments.
Organize travel arrangements, accommodation, and logistics.
Prepare and manage documents, memos, reports, and presentations.
2. Office Coordination
Assist in daily office operations and ensure smooth workflow.
Coordinate with different departments for information sharing and task updates.
Maintain office records, supplies, and necessary documentation.
3. Communication & Correspondence
Act as a point of contact between management and internal/external stakeholders.
Handle emails, phone calls, and official communications on behalf of management.
Draft letters, notices, and professional messages.
4. Meeting & Event Support
Prepare meeting agendas, minutes, and follow-up action plans.
Arrange conferences, staff meetings, and corporate events.
Ensure all logistics and documentation are ready for management meetings.
5. Reporting & Data Management
Prepare weekly, monthly, and quarterly reports as required by management.
Maintain databases, records, and files in an organized manner.
Assist in preparing budgets, MIS reports, and business summaries.
