Job Description

Looking for a Junior Community Admin in our Coworking Space based in Business and Industrial Park Phase 2, Chandigarh.


Job Objective:

To ensure smooth day-to-day functioning of the coworking space by managing client onboarding

(agreements & KYC), maintaining operational standards, handling facility maintenance, and

supporting administrative and compliance processes of WorkYard.


1. Client Onboarding & Documentation

      • Prepare, issue, and manage all client agreements, renewals, and terminations.

      • Collect and verify KYC documents (Aadhaar, PAN, GST, etc.) of all clients as per WorkYard

      policy.

      • Maintain organized and updated client records, both digitally and physically.

      • Coordinate with clients for agreement renewals, payments, and compliance requirements.

      • Issue No Objection Certificates (NOCs) and address-related documents for Virtual Office clients

      when applicable.


2. Facility & Maintenance Operations

      • Oversee daily cleanliness, maintenance, and upkeep of coworking premises.

      • Coordinate with housekeeping, technicians, and vendors for timely repairs and supplies.

      • Monitor infrastructure, including ACs, lighting, furniture, internet, and pantry equipment.

      • Maintain maintenance logs and ensure preventive maintenance schedules are followed.

      • Report and resolve any facility-related issues promptly to ensure uninterrupted client experience.


3. Administration & Coordination

      • Manage office supplies, stationery, and consumables stock levels.

      • Handle couriers, deliveries, visitor entries, and client inquiries at reception if required.

      • Support management in billing coordination, invoice follow-ups, and data entry.

      • Ensure adherence to safety, hygiene, and security standards at the premises.

      • Coordinate with vendors for AMC contracts, utility bills, and procurement.


4. Compliance & Reporting

      • Maintain agreement and KYC compliance trackers for all clients.

      • Support in filing and maintaining documents required for GST, Fire NOC, Lease Licenses, etc.

      • Prepare daily/weekly reports on client occupancy, maintenance issues, and operations status.

      • Assist in internal audits and ensure all documentation is updated for inspection readiness.


5. Client Relationship Support

      • Act as the first point of contact for existing members regarding operational or facility issues.

      • Ensure prompt resolution of complaints and communicate updates professionally.

      • Support in organizing client feedback sessions, community events, or space tours if needed.


Key Skills & Attributes

      • Strong communication and coordination skills.

      • Proficiency in MS Office / Google Workspace / Zoho tools.

      • Detail-oriented with good record-keeping and documentation ability.

      • Understanding of compliance and business documentation standards.

      • Proactive attitude with problem-solving approach.


Qualification & Experience: Graduate in Business Administration / Commerce / Management. 1–3 years of experience in

coworking / facility management / office operations preferred.
