Purchase & Import/Export Executive

Key Responsibilities :

• Handle end-to-end purchase for raw material / components / accessories as per BOM, specifications, and target cost.
• International sourcing & vendor development: identify suppliers on global portals (China and other markets), evaluate credibility, and build a vendor database.
• Collect and compare quotations, negotiate price/terms, and finalize suppliers based on cost, quality, and lead time.
• Coordinate import documentation and ensure correct paperwork: Proforma Invoice, Commercial Invoice, Packing List, HS Code, COO, BL/AWB, Insurance, etc.
• Liaise with freight forwarders / customs brokers for shipments, clearance, duties, and timely delivery.
• Ensure compliance for exports/imports as applicable: IEC, GST, E-way (if needed), DGFT/Customs requirements, and internal documentation standards.
• Track shipments and maintain ETA follow-ups, resolving delays, shortages, damages, and claims with suppliers/logistics partners.
• Create and process Purchase Orders, follow internal approvals, and maintain proper records for audits.
• Coordinate with Accounts for payment terms, LC/TT (if applicable), vendor reconciliation, and documentation for timely payments.
• Maintain MIS: supplier performance, lead times, savings achieved, pending PO summary, and monthly procurement reports.
• Work closely with Production/Stores/Quality to ensure correct material, timely availability, and issue resolution.
