Job Description

  • Office AdministrationOversee day-to-day office operations and ensure smooth functioning of all administrative activities.
  • Maintain office infrastructure, equipment, and supplies.
  • Manage office cleanliness, maintenance, and security coordination.
  • 2. Documentation & Record ManagementMaintain and update employee files, attendance records, and company documents.
  • Handle documentation related to vendors, clients, and internal departments.
  • Ensure proper filing and retrieval of records for audits and compliance.
  • 3. Attendance & Time ManagementMonitor attendance, in/out tracking, and maintain monthly attendance reports.
  • Follow up with employees for missing entries and ensure timely corrections.
  • Coordinate with HR for monthly payroll processing.
  • 4. Vendor & Purchase CoordinationManage vendor relationships, negotiate prices, and ensure timely supply of materials.
  • Arrange for purchase orders, quotations, and material follow-ups.
  • Maintain records of bills, invoices, and payment updates.
  • 5. Communication & CoordinationServe as the first point of contact for internal and external communication.
  • Coordinate with various departments for smooth workflow.
  • Draft letters, emails, notices, and internal communication as required.
  • 6. Facility & Asset ManagementMonitor office assets, equipment allocation, and maintenance schedules.
  • Maintain inventory logs of company assets—laptops, tools, ID cards, etc.
  • Ensure company property is used responsibly and returned properly.
  • 7. Support to HR DepartmentAssist HR in recruitment, onboarding, and joining formalities.
  • Coordinate for ID cards, access cards, and system arrangements for new employees.
  • Support in employee engagement activities and event coordination.
  • 8. Travel & LogisticsArrange travel plans, accommodation, and local visits for employees and management.
  • Manage transport arrangements, vehicle availability, and route planning.
  • 9. Compliance & SafetyEnsure adherence to company policies, office rules, and compliance procedures.
  • Monitor safety protocols, PPE issuance, and workplace discipline.
  • Support in compliance with labour laws and statutory requirements (if applicable).
  • 10. Management SupportPrepare reports, MIS updates, and administrative summaries for management.
  • Handle confidential information with discretion.
  • Assist management in special assignments and urgent tasks.
