Job Description

We are seeking a proactive Office Administrator to be the backbone of our HR consultancy. This role is perfect for a multi-tasker who can manage the physical office space while simultaneously supporting our digital presence and recruitment drives. You will be the face of our firm for candidates and the engine behind our administrative efficiency.

Enhanced Key Responsibilities

1. Recruitment Drive & Walk-in Management

  • Front-of-House: Welcoming candidates for walk-in interviews and ensuring they complete the necessary registration forms.
  • Initial Screening: Conducting basic document verification (ID proofs, certificates) before candidates meet with recruiters.
  • Scheduling: Managing the interview room calendar to ensure a smooth flow during high-volume hiring days.

2. Social Media & Creative Support

  • Content Creation: Using tools like Canva to design engaging recruitment flyers, "Hiring Now" posts, and employee spotlight graphics.
  • Platform Management: Posting job openings and office updates to Instagram, LinkedIn, and WhatsApp groups.
  • Internal Newsletters: Designing and distributing monthly newsletters to celebrate office milestones and team achievements.

3. Database & Operations

  • ATS/CRM Entry: Ensuring all candidate data from walk-ins and online portals is accurately entered into our tracking system.
  • Vendor Management: Coordinating with building maintenance, internet providers, and stationery suppliers.

Compliance: Ensuring all candidate and client files are stored securely and updated regularly.

  • Requirements & SkillsExperience: 1–2 years in a front-office or admin role (HR consultancy experience preferred).
  • Tech Savvy: Strong command of MS Office (especially Excel for tracking) and social media platforms.
  • Design Skills: Experience creating professional visuals for business use.
  • Communication: Fluent in English and Tamil to effectively interact with local candidates.
  • Organization: The ability to stay calm and organized during peak recruitment hours
