Job Description

We are looking for a Payroll & Compliance Administrator end-to-end payroll lifecycle with a heavy focus on Statutory Compliance (PF/ESI) and Apprenticeship Portal Management. You will ensure 100% accuracy in calculations, timely government filings, and professional client communication.


Must-Have Technical Skills


  • Advanced Excel: Mastery of VLOOKUP, Pivot Tables, SUMIFS, and Data Validation for large datasets.
  • Portal Expertise: Hands-on experience with EPFO (PF)ESIC, and Apprenticeship Portals.
  • Communication: Exceptional verbal and written skills; expert in professional mail drafting for client and department queries


Key Responsibilities


1. End-to-End Payroll Processing


  • Calculations: Accurately compute wages, overtime (OT), bonuses, shift allowances, and deductions (TDS/LWF).
  • Collecting timesheet/ attendance data from client on time and prepare the paysheets.
  • Data Management: Collect timesheets/attendance from clients; prepare and reconcile monthly paysheets.
  • Disbursement: Ensure on-time issuance of digital payslips and facilitate timely salary transfers.


2. Statutory & Portal Management


  • EPF & ESIC: Handle member registrations, monthly ECR generation, challan payments, and KYC updates.
  • Apprenticeship Portal: Manage end-to-end portal operations, including candidate registration, contract generation, and filing Record of Progress (ROP).
  • Compliance: Ensure 100% adherence to labor laws and apprenticeship regulations.


3. Client Operations & Reporting


  • Client Relations: Act as the point of contact for payroll queries; ensure professional and timely responses.
  • Financials: Generate and submit client invoices on time; perform monthly payroll reconciliation.
  • Management Reporting: Highlight Profit & Loss (P&L) trends and compliance status to leadership.


Core Competencies


  • Advanced Data Management: Mastery of MS Excel (VLOOKUP, HLOOKUP, Pivot Tables, SUMIFS, and Data Validation) to manage and audit large-scale datasets.
  • Compliance Expertise: Deep functional knowledge of EPFO, ESIC, and NAPS/NATS Apprenticeship Portals.
  • Professional Communication: Expert-level mail drafting and verbal skills. You must be able to translate complex compliance jargon into clear, professional correspondence for clients and government departments.
  • Regulatory Knowledge: Strong command over the Apprentice ActLabour Laws, and latest statutory amendment.
