Job Title: Accounts Executive

Department: Finance & Accounts

Reports To: Accounts Manager / Finance Manager

Location: Office


Job Summary

The Accounts Executive is responsible for maintaining accurate financial records, ensuring statutory and tax compliance, and supporting end-to-end accounting operations of the organization. The role includes handling GST, TDS, Income Tax, asset accounting and depreciation, invoicing, payments, customer collections, reconciliations, audit coordination, and close interaction with inventory, banking partners, auditors, and other stakeholders.


Key Responsibilities

Accounting & Financial Operations

  • Maintain books of accounts including vouchers, journal entries, ledgers, and trial balances.
  • Prepare monthly, quarterly, and annual financial statements and MIS reports.
  • Monitor and control accounts payable and receivable.
  • Ensure accurate accounting of expenses, accruals, and provisions.

Invoicing & Commercial Documentation

  • Prepare and issue sales invoices, credit notes, and debit notes in coordination with inventory and operations teams.
  • Verify purchase invoices and supporting documents for accuracy and statutory compliance.
  • Ensure correct tax treatment and documentation for all sales and purchase transactions.

Customer Collections & Receivables

  • Monitor and follow up on customer payments as per agreed credit terms.
  • Record and track customer payment collections including bank transfers, cheques, and online receipts.
  • Reconcile customer accounts and resolve billing or payment discrepancies.
  • Coordinate with sales and project teams for timely recovery of outstanding receivables.

PDC & Banking Coordination

  • Manage post-dated cheque (PDC) entries, tracking, and timely presentation.
  • Maintain proper records for cheques received, deposited, cleared, or returned.
  • Liaise with banking partners for cheque clearing, fund transfers, and account-related matters.
  • Coordinate for bank documentation, limits, guarantees, or confirmations as required.

GST, TDS & Income Tax Compliance

  • Prepare and file GST returns (GSTR-1, GSTR-3B) and reconcile with GSTR-2B.
  • Ensure timely deduction, payment, and filing of TDS returns.
  • Issue TDS certificates (Form 16/16A).
  • Assist in Income Tax computations, returns, and assessments.

Payments & Treasury Functions

  • Process advance and bill payments to vendors, subcontractors, and transporters.
  • Execute employee-related payments including payroll, loans/advances, reimbursements, and expense claims.
  • Ensure timely payment of statutory dues and other liabilities.

Asset Accounting & Depreciation

  • Maintain fixed asset registers and track capitalization, transfers, and disposals.
  • Calculate and post depreciation as per applicable accounting and tax laws.

Reconciliation & Controls

  • Prepare monthly Bank Reconciliation Statements (BRS).
  • Reconcile vendor, customer, GST, and inter-company accounts and resolve variances.

Audit & Financial Closing

  • Coordinate with external auditors for monthly, quarterly, and annual closings.
  • Prepare audit schedules, confirmations, and supporting documentation.
  • Ensure timely closure of audit observations.

Inventory & Stock Audit Coordination

  • Coordinate with inventory for periodic stock audits.
  • Reconcile physical stock with book balances and investigate variances.

Compliance & Documentation

  • Ensure compliance with accounting standards, statutory regulations, and internal controls.
  • Maintain organized documentation for audits and management review.

Qualifications & Experience

  • Bachelor’s degree in Commerce (B.Com); M.Com preferred.
  • CA (Inter), CMA (Inter), or equivalent qualification is an advantage.
  • 2–5 years of relevant accounting and taxation experience.

Skills & Competencies

  • Strong knowledge of GST, TDS, Income Tax, and accounting standards.
  • Experience in customer collections, PDC management, and banking coordination.
  • Proficiency in Tally/ERP systems and MS Excel.
  • High attention to detail and strong analytical skills.
  • Effective communication and stakeholder coordination skills.
  • Ability to meet deadlines and handle multiple priorities.

Working Conditions

  • Office-based role.
  • Extended hours may be required during month-end, audits, and statutory compliance periods.
