Job Description

Key Responsibilities

  • Office Management: Oversee general office administration and ensure the office is stocked with necessary supplies and that all equipment is well-maintained.
  • Scheduling and Coordination: Manage executive calendars, coordinate meetings (including preparing agendas and minutes), and arrange travel and accommodation when required.
  • Communication & Correspondence: Act as the primary point of contact for internal teams and external vendors/clients, handling phone calls, emails, and official letters with professionalism.
  • Record Keeping: Organize and maintain accurate physical and digital records, files, and databases, handling confidential information with discretion.
  • Finance & Procurement Support: Monitor office expenses, manage procurement of supplies, process invoices, raise purchase orders, and liaise with vendors.
  • HR Assistance: Support human resources functions, including assisting with the onboarding process for new hires, managing leave records, and coordinating employee engagement activities or events.
  • Problem-Solving: Proactively address administrative challenges and implement solutions to ensure uninterrupted operations.

Requirements and Qualifications

  • Experience: Proven experience as an Admin Executive, Administrative Assistant, or in a similar administrative role.
  • Education: A high school diploma or equivalent is required; an Associate or Bachelor's degree in Business Administration or a related field is preferred.
  • Skills:
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and general office management software.
  • Exceptional organizational, time-management, and multitasking abilities.
  • Strong written and verbal communication skills.
  • High attention to detail and strong problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
