Back Office Executive

Role Overview:

We are looking for a smart, customer-friendly Back Office Executive who can professionally manage Instagram DMs, WhatsApp chats, coordinate with store teams, and ensure smooth customer communication for Silver Lady.

✨ Key Responsibilities

📱 Instagram Management

• Reply to all Instagram DMs promptly and professionally

• Handle product inquiries, price details, availability, and booking requests

• Share product photos, videos, size details, and recommendations to customers

• Maintain a positive brand voice and ensure engaging conversations

• Coordinate with the marketing team for daily post & story updates

• Track customer leads from Instagram and follow up when required

💬 WhatsApp Communication

• Manage daily WhatsApp messages, broadcast lists & customer queries

• Convert inquiries into walk-ins or online orders

• Send product catalogues, new arrivals & promotional messages

• Handle order confirmations, payments, and follow-up messages

• Maintain WhatsApp business tags and organize chat labels

🗂 Back Office Coordination

• Coordinate with store team for stock availability & dispatch updates

• Maintain customer data, inquiry records & follow-up lists

• Assist management with basic reports (sales inquiries, conversions, DM count, etc.)

• Support online order processing and courier coordination if needed

• Excellent communication in English & Tamil

• Good typing speed and clarity in messaging

• Basic knowledge of Instagram, WhatsApp Business & simple Excel

• Customer-friendly attitude with problem-solving skills

• Ability to multitask and handle high-volume chats
