Job Description

As a Dispatch Executive, your primary responsibility will be to oversee the efficient and timely dispatch of goods or materials to customers or other designated locations. You will play a crucial role in coordinating the logistics operations, ensuring accuracy in order processing, and maintaining effective communication with internal teams and external stakeholders. Key Responsibilities: Order Processing: Receive and process orders from customers, sales representatives, or other departments. Verify order details, including quantity, product specifications, delivery addresses, and any special instructions. Logistics Coordination: Coordinate with the warehouse team to ensure that the required products are available and ready for dispatch. Schedule dispatches based on priority, delivery deadlines, and available transportation resources. Dispatch Planning: Plan and organize the dispatch schedule to optimize efficiency and minimize delivery lead times. Allocate resources appropriately to meet customer requirements and operational targets. Documentation and Record Keeping: Prepare necessary documentation, such as invoices, delivery notes, and shipping manifests. Ensure accuracy and completeness of all dispatch-related paperwork and maintain organized records for auditing and reference purposes. Quality Control: Conduct quality checks on outgoing goods to verify accuracy, condition, and compliance with specifications. Address any discrepancies or issues promptly to avoid delivery delays or customer dissatisfaction. Communication: Maintain clear and timely communication with internal teams, including sales, warehouse, and transportation, to coordinate dispatch activities effectively. Liaise with external stakeholders, such as carriers, couriers, and customers, to provide updates on shipment status and address inquiries or concerns. Inventory Management: Monitor inventory levels and update inventory records to reflect outgoing shipments accurately. Report any discrepancies or inventory shortages to the appropriate personnel for resolution. Continuous Improvement: Identify opportunities for process optimization, cost reduction, and performance improvement within the dispatch function. Propose and implement solutions to enhance efficiency, accuracy, and customer satisfaction. Reporting: Generate regular reports on dispatch activities, including volume handled, on-time delivery performance, inventory levels, and any operational issues or challenges. Provide insights and recommendations to management for decision-making and improvement initiatives. Qualifications and Skills: Previous experience in dispatch, logistics, or warehouse operations is preferred. Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Excellent attention to detail and accuracy in data entry and record keeping. Effective communication skills, both verbal and written, for internal coordination and external customer interaction. Proficiency in using computerized systems and software for order processing, inventory management, and reporting. Knowledge of logistics and transportation procedures, including routing, scheduling, and freight handling, is advantageous. Ability to work independently with minimal supervision and collaborate effectively as part of a team.
