Executive Assistant

In This Role, Your Responsibilities Will Be:
  • Organizing and servicing meetings (producing agendas and taking minutes), Schedule meetings and arrange conference rooms.

  • Managing travel plans of VP/GM, handling confidential documents ensuring their safety.

  • End to End Travel Desk Management (Ticket booking, VISA, Documentation) for staffs.

  • Coordinates for both external and internal Review meetings with the senior management team.

  • Handling and prioritizing all outgoing or incoming correspondence (e-mail, letters, packages etc.), maintaining contact lists 

  • Arrange domestic and international travel for factory leadership and visiting executives.

  • Handle ticketing, hotel bookings, visas, and transportation logistics.

  • Maintain travel records, itineraries, and ensure cost-effective travel planning.

  • Coordinate with travel agencies and vendors to secure best rates and services

  • Manage foreign exchange (forex) requirements for international travel and transactions by liaising with banks and authorized dealers to ensure timely arrangements, tracking and reconciling forex expenses in line with company policies, and maintaining utilization records for reporting to finance during audits and reviews

  • Vendor management,  Handle information requests (Processing of Bills, local transportation, mobile, telephone bills, AMEX cards, etc.,)

  • Preparing the PPT, Excel books, Charts for meetings and maintains the reports.

  • Managing databases, maintaining diaries, and arranging appointments, typing, preparing, and collating reports.

  • Liaising with relevant organizations and clients

  • Logging or processing bills or expenses

  • Alert manager about cancelations or new meetings.

  • Provide administrative and business support to departments or individuals as required.

  • End to End expat management

  • Handle confidential information with discretion

Who You Are:
  • You establish clear responsibilities and processes for monitoring work and measuring results, build and deliver solutions that meet customer expectations and credit others for their contributions and accomplishments.
For This Role, You Will Need:
  • Bachelor’s degree in Business Administration, Secretarial Studies, or related field.
  • Proven experience (10+ years) as an Executive Secretary, preferably in a manufacturing or industrial environment.
  • Strong organizational and multitasking skills.
  • Excellent communication skills (written and verbal).
  • Proficiency in MS Office Suite and familiarity with ERP systems.
  • Ability to handle sensitive information with integrity
Preferred Qualifications That Set You Apart:
  • Prior experience in a manufacturing or factory environment, with exposure to production workflows and compliance requirements.
  • Strong background in travel management, ticketing, and forex coordination, including handling international itineraries and currency arrangements.
  • Familiarity with ERP systems (SAP, Oracle, or similar) and factory management software.
  • Demonstrated ability to manage confidential information with discretion and professionalism.
  • Excellent negotiation skills for vendor management (travel agencies, banks, suppliers).
  • Multilingual proficiency to support international communication.
  • Proven track record of cost optimization in travel, ticketing, and forex transactions.
  • Strong analytical skills with the ability to prepare management dashboards and performance reports.
