Job Title:
Field Officer – Facility Management
Department: Operations
Reporting To: Operations Manager / Facility Manager
Location: Site-based / Multiple Locations
Job Summary
The Field Officer is responsible for overseeing day-to-day facility management operations at assigned sites. The role ensures smooth service delivery, manpower management, client coordination, compliance with company standards, and timely reporting. The Field Officer acts as a key link between site staff, clients, and the head office.
Key Responsibilities
Operations & Site Management
- Supervise housekeeping, security, technical, and support staff at assigned locations
- Ensure adherence to service level agreements (SLAs) and quality standards
- Conduct regular site inspections and audits
- Resolve operational issues and escalations promptly
Manpower Management
- Ensure adequate manpower deployment as per approved strength
- Monitor attendance, shift rosters, leave, and replacements
- Coordinate recruitment, onboarding, and training of site staff
- Handle staff grievances and maintain discipline at site
Client Coordination
- Act as the single point of contact for site-level client interactions
- Attend client meetings and address service-related feedback
- Ensure timely closure of client complaints and service requests
Compliance & Documentation
- Ensure statutory compliance (PF, ESI, wage norms, safety guidelines)
- Maintain site records such as attendance registers, logbooks, and checklists
- Submit daily/weekly/monthly reports to head office
- Support audits and inspections by clients or authorities
Quality, Safety & Hygiene
- Ensure safety protocols, housekeeping standards, and hygiene practices are followed
- Conduct toolbox talks and safety briefings
- Report incidents, accidents, or near misses immediately
Billing & Coordination Support
- Coordinate with accounts team for attendance validation and billing inputs
- Support timely salary processing and client invoicing
- Assist in cost control and resource optimization
Qualifications & Experience
- 10th, +12 or Diploma (any discipline preferred)
- 2–5 years of experience in Facility Management / Manpower Services
- Knowledge of housekeeping, security, and FM operations
- Familiarity with labour laws and statutory compliances
- Skills & CompetenciesStrong communication and interpersonal skills
- Good people management and problem-solving abilities
- Basic computer knowledge (MS Excel, email, reporting)
- Ability to handle multiple sites and work under pressure
- Willingness to travel and work in shifts if required
- Key Performance Indicators (KPIs)Client satisfaction and complaint closure rate
- Manpower stability and attendance accuracy
- Compliance adherence and audit results
- Timely reporting and coordination
- Working ConditionsField-based role with frequent site visits
- May require working on weekends or holidays based on operational needs
