Job Description: Front Desk Executive (Female)Role Title: Front Desk Executive (Female)

Location: The Derm Edit – Chennai

Reporting to: Clinic Manager / Dr. Sarat Anandh


Core Responsibilities


A. Calls & Enquiry Handling

  • Receive inbound calls/WhatsApp enquiries and respond professionally.
  • Understand the concern, explain process briefly, and convert to appointment.
  • Handle pricing enquiries only as per approved rate card/scripts (no random quotes).

B. Appointment Booking & Scheduling

  • Book, reschedule, and confirm appointments (doctor/therapist).
  • Send confirmation messages, location, pre-visit instructions, and reminders.
  • Manage daily schedule flow and reduce no-shows.

C. Lead Follow-up & Conversion

  • Follow up pending leads (walk-ins, DMs, WhatsApp, missed calls, campaign leads).
  • Update lead status daily: New → Contacted → Follow-up → Booked → Visited → Closed/Lost.
  • Maintain professional persistence without spamming; escalate hot leads to manager.

D. Excel / Clinic Sheets Maintenance

  • Maintain and update clinic trackers daily (Excel/Google Sheets), such as:

  • Walk-ins & leads sheet
  • Appointments & attendance
  • Treatment/package enquiry tracker
  • Payments summary / pending list (as per management format)
  • Ensure data accuracy, proper tagging, and no missing entries.

E. Front Desk Operations

  • Greet patients, coordinate waiting time, and manage patient flow.
  • Coordinate with therapists/doctor for room readiness and timing.
  • Basic billing support/receipt coordination (as per clinic policy).
  • Skills RequiredFluent Tamil + English (Hindi optional)
  • Strong communication + sales conversion mindset
  • Excel confidence (data entry, filters, basic formulas)
  • Professional grooming, punctuality, calm under pressure
  • KPIs (Monthly)Enquiry-to-appointment conversion %
  • Follow-up completion rate
  • No-show reduction %
  • Data accuracy (zero missing entries)
  • Patient experience feedback
