Job Description

We are seeking a professional Front Office cum Admin Executive to manage the reception area and provide comprehensive administrative support to the organization. The ideal candidate is courteous, well-spoken, tech-savvy, and organized, with the ability to multitask in a busy environment and maintain a welcoming, efficient front-office experience.

Key Responsibilities:

Front Office / Reception

  • Greet visitors warmly and verify visitor credentials; manage sign-in/sign-out process.
  • Answer, screen, and direct inbound calls and emails; provide accurate information or route to the appropriate person.
  • Maintain a tidy, professional reception area, including waiting lounge and meeting-room presentation.
  • Manage mail, courier, and courier-related activities; coordinate deliveries.

Administrative Support

  • Manage calendar scheduling, meeting coordination, as needed.
  • Prepare, format, and edit documents, presentations, and reports; assist with proofreading and formatting.
  • Maintain electronic and physical filing systems; ensure data accuracy, confidentiality, and easy retrieval.
  • Support recording staff attendance, travel arrangements, itineraries, and expense reimbursements for staff and executives.
  • Assist with onboarding/offboarding processes, attendance tracking, and leave records (if applicable).

Office Operations & Facilities

  • Monitor and replenish office supplies; liaise with vendors for procurement and maintenance.
  • Coordinate facilities-related tasks (IT access, workspace arrangements, repairs) in liaison with relevant teams.
  • Coordinate internal events, trainings, and team activities; assist with logistics and attendee lists.
  • Ensure health and safety compliance in the office; report hazards and incidents promptly.

Administrative Reporting

  • Assist in coordinating for inter team admin related request and queries.
  • Support HR/Operations with process improvement initiatives and standard operating procedures.

Required Qualifications:

  • Bachelor’s degree or equivalent experience in administration, business, hospitality, or a related field.
  • 0 to 1 years of experience in front office, admin, or executive support roles.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace; familiarity with CRM/ERP tools is a plus.
  • Excellent written and verbal communication skills; professional phone manner.
  • Strong organizational and time-management abilities; attention to detail and accuracy.
  • Customer-service orientation with a professional, courteous demeanor.
  • Ability to handle confidential information with discretion; maintain professionalism under pressure.
  • Multitasking capability and the ability to work independently as well as part of a team.

Preferred Skills:

  • Experience in hospitality or guest relations; event coordination experience.
  • Basic bookkeeping or expense management knowledge.
  • Multilingual abilities relevant to the locale.
