Employee Roles & Responsibilities
Manager – Finance and Accounts
Department: Finance and Accounts
Reports To: CFO
Job Type: Full-Time

Position Overview:
As a Manager, you will be responsible for ensuring the accurate and timely processing of financial transactions, performing book closure and preparation of financial statements, management reporting and supporting external and internal audits. You will work closely with both internal departments and external vendors to ensure smooth financial operations. You will also be responsible for all finance related statutory compliances for the company.
Key Roles and Responsibilities:
1. General Accounting Tasks
- Vendor payment operations to be effectively managed and recorded in Zoho books
- Monitor team and ensure smooth and accurate capture of financial transactions in Zoho books.
- Ensure all statutory and tax related entries are accurately recorded – ensure adherence to accounting SOP.
- Ensure all bank accounts are reconciled on a periodic basis
- Perform book closure on a monthly basis and ensure all manual journals that are required for month close process is done accurately on a timely basis
- Prepare & Present financial statements and management reporting dashboards on a monthly basis
- Ensure end to end compliance with accounting SOP with respect to accounting, statutory compliances
2. Accounts Payable
- Review and approve accounts payable entries passed to ensure right selection of account head, input eligibility, RCM applicability, project, job-order, TDS applicability and the like.
- Obtain management approval for all new AP transactions and ensure contracts are available and the bills are raised as per contracts.
- Ensure accounting SOP is followed for all payable transactions
- Process payments on a timely basis in accordance with company policies
- Ensure the payments are categorized against the right Vendor and the right type of payment is selected in Zoho payments – i.e Vendor advance, vendor payment and the like.
- Generate and analyze vendor aging and vendor balance summary on a weekly basis and submit to management.
3. Accounts Receivable
- Raise and account for all sale invoices by project and submit for requisite approval.
- Generate e-invoicing for all approved invoices
- Ensure completeness of invoice bookings by coordinating with sales operations.
- Ensure project and work ticket level information is filled in for each sales transaction
- Process incoming payments and reconcile customer accounts and ensure the same reconciles with the intermediary company that bills to end customer.
- Perform end to end GST reconciliations
- Investigate and resolve any billing discrepancies or disputes.
- Generate and analyze aging reports to ensure timely payments.
4. Payroll
- Ensure completeness of employee benefit expense accounting in Zoho as “journals” before month close is initiated.
- Ensure all welfare expenses are accounted accurately and TDS is deducted for all applicable expenses.
- Ensure taxes on salaries are deducted accurately and remitted to the govt as per law.
5. Book close
- Perform month end book close procedure as outlined in accounting SOP.
- Ensure all accounting transactions – general, AP, AR, Payroll related are passed and completed in Zoho books
- Ensure all manual journals, prepaid expenses, provisions are passed
- Ensure completeness for GST and TDS purposes.
- Generate Trial Balance and initiate period closure / transaction locking.
6.
GST and TDS compliances
- Generate and review GSTR 1 report through Zoho books and ensure completeness and correctness of sales data.
- Upon ensuring correctness, file GSTR1 well within the due dates
- Generate 2B recon and review matched, unmatched transactions and perform necessary corrections in books or inform Vendor for corrections as applicable. Ensure all known transactions are matched fully and only those disputed transactions that will be resolved in the next period are moved to “pending” in 2B recon.
- Ensure completion of 2B recon as a pre-mandatory step before initiating filing process for GSTR 3B.
- After all validation steps have been completed, file GSTR3B return well within the due dates.
- Generate TDS summary and ensure correctness of TDS entries accounted and file TDS return within the due dates
- Extract GST and TDS summary as a report and submit to management every month.
7. Financial Reporting and Analysis
- Prepare financial reports as required by statutory auditors, bankers and management
- Prepare monthly expense analysis reports with reason for variance from period to period.
- Prepare management reporting dashboards and present the same on a monthly basis
- Provide bank position and vendor balance dues as and when required by management.

Internal Controls & Compliance
- Ensure adherence to accounting SOP, general accounting policies, procedures, and internal controls.
- Participate as financial dept representative during physical stock verification along with inventory department manager and respective operations department representative and virtual CFO office representative on a monthly basis.
- Assist in internal and external audits by providing requested documentation and analysis.
- Ensure compliance with all tax regulations and reporting requirements.
- Track and monitor all insurance policies, consultant / external contracts for renewal and ensure no slippages in renewals.
- Maintain all contracts, policies and important documentation in secured safe as directed by management
- Identify and report potential risks to financial operations and suggest corrective actions.
- Maintain utmost confidentiality of financial information and data
- Maintain issue tracker for all issues encountered.
9. Collaboration and Communication
- Collaborate with other departments (Sales Admin, HR, Admin, Operations) to ensure accurate and efficient financial processes.
- Communicate effectively with managers, co-staff and vendors as required.
10. Additional Duties (if applicable)
- Participate in ad-hoc projects as required by the department or organization.
- Contribute to process improvements and recommend enhancements to accounting workflows.
