Executive Assistant for Managing Director

About the Role
We're looking for a smart, fast, and trustworthy executive assistant who can work directly with the managing director to take complete ownership of day-to-day execution. If you're someone who thrives in chaos, brings order to moving parts, and loves making things run smoothly—you’ll fit right in.
This is not a personal secretary job. This is a mission-critical support role designed to keep the founder focused on growth while you handle coordination, follow-ups, communication, and operational firefighting.
Key Responsibilities
· Executive Support: - Manage the MD's calendar (reminders as well), emails, and communications and coordinate with the team across all businesses. Host daily 15-minute check-ins and track performance.
· Vendor & External Relations: Be the MD's go-to person for operational updates and queries. Liaise with vendors, bankers, and external partners
· Task & Project Management: - Manage projects, track progress, and ensure timely completion using tools like e.g., Notion and Trello.
· Team Performance & Reporting: - Ensure data accuracy and prepare reports. Collect daily reports from team members and work with HR to crunch the numbers. Help identify areas where they can improve and suggest ways to make things more efficient.
· Personal Assistance: - Provide personal assistance to MD, including appointments and logistics. Help out with personal errands and requests as needed.
· Data Management & Admin: Keep records and files up-to-date and accurate. Prep reports and presentations as needed
Must-Have Skills & Qualities
- Ownership mindset: You don’t wait to be told what to do. You chase clarity and get things done.
- Strong follow-up game: You know how to get responses without nagging.
- Fast and sharp: You learn tools and systems quickly.
- Clear communicator: Whether it’s WhatsApp or email, your language is crisp and professional.
- Fluent in English and Tamil/ Hindi
- Tech-savvy: Comfortable using Google Workspace, Excel, WhatsApp Business, courier portals, and task trackers.
Eligibility
- Freshers with strong intent and learning ability
- Or 1–3 years of experience as an EA, project coordinator, or operations assistant
- Chennai-based and ready to work on-site full-time in Purusalkam, Chennai
