Job Description

The Personal Assistant will serve as the primary support person for senior management/executives, managing their schedules, communications, travel, and various administrative tasks. The ideal candidate must be a trustworthy professional capable of handling confidential information with discretion and efficiency.


Key Responsibilities


Schedule and Time Management:


Manage and maintain complex calendars, scheduling internal and external meetings, appointments, and conferences.


Prioritize time-sensitive matters and ensure the executive's schedule is adhered to and optimized.


Communication and Correspondence:


Act as the first point of contact, screening and directing phone calls, emails, and correspondence.


Draft, proofread, and prepare professional documents, presentations, and reports for executive review.


Travel and Logistics:


Arrange and coordinate extensive domestic and international travel logistics, including flights, accommodation, transportation, and detailed itineraries.


Process expense reports and manage travel budgets.


Administrative and Office Support:


Organize and maintain filing systems, both digital and physical, ensuring security and accessibility of important documents.


Coordinate office management tasks, including ordering supplies, managing vendor relationships, and ensuring a tidy and functional workspace.


Meeting Support:


Prepare necessary materials for meetings, including agendas, background information, and necessary presentations.


Attend meetings, take minutes, and follow up on action items to ensure timely completion.


Confidentiality and Discretion:


Handle sensitive and confidential information with utmost integrity and discretion at all times.


Required Qualifications & Skills


Experience: Minimum of 3+ years of experience in a similar Executive Assistant, Personal Assistant, or Senior Administrative role.


Education: Bachelor’s degree in Business Administration, Communication, or a related field is preferred.


Technical Skills: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.


Organizational Prowess: Excellent organizational, multi-tasking, and time-management skills with a proven ability to meet deadlines in a fast-paced environment.


Interpersonal Skills: Exceptional written and verbal communication skills; professional demeanor and strong interpersonal abilities.


Discretion: Proven ability to exercise sound judgment and maintain strict confidentiality.
