Job Title: Personal Secretary

Location: Chennai, India (with significant domestic and international travel)

Job Description:

Mothers Medica is seeking a highly skilled and organized Personal Secretary to provide comprehensive support to senior management. This role involves extensive travel and requires exceptional multitasking abilities, strong communication skills, and the capacity to manage confidential matters with discretion.

Key Responsibilities:

1. Executive Support and Travel Coordination:

·        Manage daily schedules, appointments, and meetings for senior management.

·        Organize and coordinate domestic and international travel, including flights, accommodations, visa processing, and detailed itineraries.

·        Accompany senior management on business trips, providing logistical and administrative assistance.

2. General Management Assistance:

·        Serve as the primary point of contact for senior management in their absence.

·        Assist with overseeing day-to-day management tasks, ensuring seamless business operations, and reporting directly to the director.

3. Meeting and Event Planning:

·        Prepare meeting agendas, record minutes, and follow up on action items.

·        Coordinate company events, workshops, and conferences, managing logistics and vendor communications.

4. Document Management and Communication:

·        Draft, proofread, and edit business correspondence, reports, and presentations.

·        Maintain a well-organized and confidential filing system for key documents.

·        Manage phone calls, emails, and other forms of communication on behalf of senior management.

5. Administrative and Office Coordination:

·        Oversee office supplies, procurement, and ensure the executive office remains organized.

·        Support special projects and assist with daily administrative duties as needed.

Qualifications:

·        Proven experience as a Personal Secretary, Executive Assistant, or in a similar role.

·        Strong organizational and time-management skills.

·        Excellent verbal and written communication abilities.

·        Proficiency in MS Office Suite (Word, Excel, PowerPoint).

·        Willingness to travel frequently, both domestically and internationally.

·        Ability to handle sensitive information with the highest level of confidentiality.

Preferred Skills:

·        Proficiency in PowerPoint and MS Office Suite.

·        Multilingual abilities (Fluency in Hindi, English, and any regional language).
