Job Description
We are seeking a highly organized and motivated Sales Coordinator to support our sales team and manage the end-to-end sales cycle, from initial client contact, to order processing, and customer relationship management. The ideal candidate will be a crucial link between our sales efforts and internal operations, ensuring a smooth and professional client experience.
Key Responsibilities include:
🤝 Client Engagement & Presentation
- Understand Client Requirements: Proactively engage with potential and existing clients to thoroughly understand their needs, pain points, and project requirements.
- Initial Outreach: Prepare and send professional introductions and the company's product catalogues to prospective clients.
- Product Showcase: Effectively present and demonstrate the company's products, models, and variants, highlighting features and benefits that align with client needs.
📝 Quotation, Negotiation, & Order Closure
- Proposal Generation: Prepare, customize, and send detailed quotations and proposals in response to client inquiries.
- Negotiation: Participate in and lead negotiation efforts to address client concerns, adjust terms, and ultimately close orders and crack deals.
- Deal Finalization: Ensure all sales contracts and agreements are accurately completed and signed.
⚙️ Internal Order Processing & Administration
- Order Processing: Accurately process confirmed orders through the company's internal Enterprise Resource Planning (ERP) system or standard operating procedures.
- Coordination: Liaise effectively with internal departments (e.g., production, logistics, finance) to ensure timely fulfillment and delivery of orders.
- Documentation: Maintain comprehensive and organized order history files, project files, and all related correspondence.
📊 Data Management & Relationship Building
- Data Integrity: Maintain accurate and up-to-date records of key project and key customer data in the Customer Relationship Management (CRM) system.
- Client Relationship Management: Cultivate and maintain good client relationships through consistent communication, follow-up, and exceptional service to encourage repeat business and referrals.
- Reporting: Assist the sales manager with weekly/monthly sales reports and pipeline updates.
Required Qualifications & Skills
- Proven experience in a sales support, sales administration, or sales coordinator role.
- Strong verbal and written communication skills for professional client interaction (introductions, proposals, negotiation).
- Excellent organizational skills and attention to detail for managing project files and processing orders.
- Proficiency in CRM software (e.g., Zoho CRM, Salesforce, HubSpot) and MS Office Suite (Word, Excel, PowerPoint).
- Ability to work effectively in a fast-paced environment and manage multiple priorities simultaneously.
- A proactive, results-oriented attitude with a strong commitment to customer service.
