Job Description

Position Overview

We are seeking a dedicated and multilingual Secretary to provide administrative and organizational support to our office. The ideal candidate will be fluent in English, Hindi, and Tamil, ensuring smooth communication across diverse teams and stakeholders.


Key Responsibilities

Administrative Support


Manage calendars, schedule meetings, and coordinate appointments.


Draft, proofread, and format official correspondence, reports, and presentations.


Prepare agendas, minutes, and follow-up actions for meetings.


Office Coordination


Handle incoming calls, emails, and visitors with professionalism.


Maintain filing systems (digital and physical) for easy retrieval of documents.


Coordinate travel arrangements, accommodations, and itineraries.


Follow up on assigned tasks and ensure timely completion


Documentation & Compliance


Ensure accurate record-keeping of contracts, policies, and confidential files.


Assist in preparing compliance-related documents and reports.


Maintain confidentiality of sensitive information at all times.


Communication & Event Support


Draft notices, circulars, and announcements in English, Hindi, and Tamil.


Assist in organizing office events, workshops, and celebrations.


Liaise with vendors, service providers, and external stakeholders.


Qualifications & Skills

Bachelor’s degree or diploma in Administration/Business/related field.


Proven experience in a secretarial or administrative role.


Fluency in English, Hindi, and Tamil (spoken and written).


Strong organizational and multitasking abilities.


Excellent written and verbal communication skills.


Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).


Discretion and professionalism in handling confidential information.


Salary

₹25,000 – ₹35,000 per month, based on experience and qualifications.
