Job Description
Key Duties
· Ensure that the entire office space is maintained at a high level of cleanliness.
· Track and maintain agreement with vendors who are in service.
· Regular facility floor walk through with FE to identify issues in Housekeeping, pest control, Pantry services, M&E etc. and initiate immediate rectification actions
· Track the snag points and follow up with respective team for closure.
· Coordinate with engineering team and close related issues
· Coordinate with helpdesk team in raising tickets and tracking to closure as per SLA.
· Organizes flow of work, prioritize tasks and activities as per helpdesk tool, and ensures that routine administrative functions are carried out in a timely and effective manner by the team.
· Coordinate with vendors for timely supply of materials, toiletries and replenishment.
· Ensure proper functioning of mail room, receipt and delivery of mail Ensures that team members/ vendors meet all safety guidelines/ requirements and reporting and update.
· Ensure all safety guidelines/requirements are met by team members/ Support Staff and vendors.
· Follow up with all vendors for accurate and timely invoice submission
· Ensure checking of all vendor invoices in detail and submission to finance team.
· Quarterly collecting the NDC from all vendors.
· Prepare monthly reports ae per site requirement
· Oversee the inventory of office supply and equipment
· Facilitate all minor and major Events, Townhall and Client visits etc. as per site requirement
· Handle all floor pantry services end to end, ensure no shortfall of stocks
Key Role Responsible for overall operations of the facilities
· Co-ordinate with existing cafeteria vendor partner to ensure quality of food, sufficient food quantity, vendor handles food hygienic way, food tasting takes place before transferring to food serving counters, food serves with right temperature till cafeteria closure time, ensuring food available as agreed menu and timing (Breakfast/Lunch/Evening Snacks/Dinner/ Midnight Snacks/Early Morning Snacks)
· Follow up vendor for food sampling test report quarter wise
All events related coordinate with food vendor partners and client accordingly
· Maintains soft copy of all service records, DC’s and test certificates
· Analyses/ Recommends solutions on the complaints received from helpdesk.
· Reviews all check lists/log sheets on a regular basis to ensure smooth operations
Required Skillsets:
· Any Graduate
· 10+ years of Experience in managing facilities operations.
· Good planning, analytical and organizational skills.
· Good written and verbal communication skills
· Customer focused approach.
· Demonstrated leadership skills. Team player.
· Good MS Office skills.
· Ability to prioritize and deliver on multiple tasks.
