Service Coordinator

Job Description

As a Service Coordinator at Essex Engineers, you will play a key role in ensuring smooth service operations and effective coordination between customers, technicians, and internal teams. Your primary focus will be on managing service requests, scheduling, and ensuring timely resolution. If you are organized, proactive, and good at communication, this role is for you!


Responsibilities:

Service Coordination & Scheduling:

  • Handle incoming service requests from customers via phone, email, or system
  • Schedule and assign service jobs to technicians based on priority and availability
  • Track service status and ensure timely completion of tasks
  • Maintain proper service records and job logs

Customer Communication:

  • Act as the first point of contact for service-related queries
  • Provide updates to customers on service status and timelines
  • Ensure customer satisfaction by resolving issues promptly

Documentation & Record Keeping:

  • Maintain service reports, job cards, and related documentation
  • Ensure accurate entry of service data into the system
  • Keep records of service history and customer interactions

Coordination with Teams:

  • Coordinate with technical teams for job execution
  • Work with sales and operations teams for service planning
  • Escalate critical issues to management when required

Billing & Follow-ups:

  • Assist in service billing and invoice preparation
  • Follow up for pending service approvals and payments
  • Maintain records of completed and pending services

MIS & Reporting:

  • Prepare daily/weekly service reports
  • Track service performance and pending jobs
  • Provide insights to improve service efficiency

Qualifications:

  • Bachelor’s degree (any discipline; B.Com / BBA preferred)
  • 1–4 years of experience in service coordination / operations
  • Basic knowledge of MS Excel and ERP/CRM tools
  • Good communication and organizational skills
