Job Description

An Admin Head in Real Estate leads office operations, managing staff, budgets, systems, and compliance, while supporting agents with transaction coordination, marketing, client communication, and document flow (contracts, listings) to ensure smooth, efficient property management and sales processes, bridging strategic oversight with hands-on support. Key duties include overseeing daily admin, streamlining workflows, managing vendors/budgets, and ensuring legal adherence, acting as the central hub for agents, clients, and management. 

Key Responsibilities

  • Office & Staff Management: Supervise admin staff and foster a productive culture.
  • Financial Oversight: Manage budgets, track P&L, process bills, oversee office supplies, and manage vendor contracts for cost-effectiveness.
  • Process & Systems Management: Develop efficient workflows, manage databases, maintain filing systems, and ensure compliance with policies and regulations.
  • Agent & Transaction Support: Coordinate showings, prepare documents (contracts, listings, MOUs), manage client inquiries, and support marketing efforts.
  • Project & Property Oversight (if applicable): Oversee fit-outs, manage property maintenance.
  • Reporting & Communication: Liaise with senior management, cross-functional teams (Legal, Finance, IT), and provide key performance data. 

Essential Skills & Qualifications

  • Strong organizational skills, attention to detail, excellent communication (written/verbal).
  • Proficiency in MS Office (Excel) and real estate software.
  • Understanding of real estate laws/regulations.
  • Budgeting, negotiation, and leadership skills.
  • Experience in real estate or property management.

  • Reports to the Real Estate Broker or senior management
