Job Description

  • Service Coordinator – Roles & Responsibilities


  • 1. Customer Service & Support


  • Act as the main contact point for customers regarding service issues
  • Receive complaints, breakdown calls, and service requests
  • Provide product/service information and basic troubleshooting guidance
  • Ensure quick response and customer satisfaction


  • Service Call Coordination


  • Log service calls and assign them to field service engineers/technicians
  • Schedule service visits based on priority and location
  • Track job status from complaint → service → closure
  • Follow up with customers after service completion 


  • 3. Work Order & Documentation Management


  • Create and manage service work orders
  • Maintain service reports, job cards, and technician timesheets
  • Update ERP/CRM systems (SAP, Excel, etc.)
  • Ensure all service jobs are properly closed and documented 


  • 4. Spare Parts & Inventory Coordination


  • Identify and arrange required spare parts for vacuum cleaners
  • Order, track, and follow up on parts with vendors
  • Ensure parts reach technicians on time to avoid delays
  • Maintain spare parts stock and records


  • 5. Coordination with Internal TeamsWork closely with:
  • Production team
  • Sales team
  • Service engineers
  • Stores & dispatch
  • Ensure smooth communication between departments
  • Support installation and after-sales service activities


  • 6. Logistics & Dispatch Support

  • Coordinate machine dispatch for repair/service
  • Arrange pickup & delivery of equipment (if required)
  • Provide dispatch instructions and update customers


  • 7. Billing & Service Reports


  • Prepare service invoices and quotations
  • Handle AMC (Annual Maintenance Contract) records
  • Track payments and service-related billing issues


  • 8. Service Planning & Scheduling

  • Plan preventive maintenance schedules
  • Ensure timely servicing of machines to avoid breakdowns
  • Prioritize urgent service cases
  • 9. Problem Solving & EscalationIdentify recurring issues in machines
  • Escalate critical problems to technical/production teams
  • Support root cause analysis and improvement actions


  • 10. KPI & Performance TrackingMonitor:
  • 
  • Service response time
  • Job completion rate
  • Customer satisfaction
  • Generate reports for management
