Job Description

Key Responsibility Areas (KRA) for Travel consultant

Position: Senior Travel consultant

Department: Sales and Customer Service

1. Sales and Revenue Generation

  • Sales Targets: Achieve monthly, quarterly, and annual sales targets as set by the management.
  • Product Knowledge: Maintain in-depth knowledge of travel products, including destinations, tour packages, itineraries, and pricing.
  • Cross-Selling and Up-Selling: Identify opportunities to cross-sell and up-sell additional products and services to increase revenue.
  • Lead Conversion: Follow up on leads generated through various channels and convert them into confirmed bookings.

2. Customer Service

  • Client Consultation: Provide professional and personalized travel consultation to clients, understanding their needs and preferences.
  • Itinerary Planning: Plan and customize travel itineraries based on clients’ requirements, ensuring all details are accurate and feasible.
  • Problem Resolution: Address and resolve client complaints and issues promptly and effectively.
  • Post-Sale Support: Provide after-sales support to clients, including assistance with travel documents, confirmations, and any travel-related concerns.
  • 24/7 Support: Provide 24/7 support to customers. Calls from customers must be answered promptly and efficiently at all times.
  • Call Handling: Missing a customer's call is unacceptable. Every call must be answered or returned as soon as possible to ensure no customer queries are neglected.

3. Operational Efficiency

  • Booking Management: Handle all aspects of booking management, including reservations, ticketing, and confirmations.
  • Documentation: Ensure all necessary travel documents are prepared and provided to clients, including visas, tickets, itineraries, and insurance.
  • Payment Processing: Manage payment collection, process transactions, and ensure timely invoicing.
  • Record Keeping: Maintain accurate records of all client interactions, bookings, and transactions.
  • Login Time: Ensure a minimum daily login time of 9 hours in the calling software.
  • Breaks: 1 hour of break time, including:
  • 30 minutes for lunch.
  • Two 15-minute breaks for tea and personal activities.
  • Follow-Up Time: 1 hour for follow-ups.
  • Additional Breaks: Other breaks such as downtime, auxiliary time, and meetings are subject to approval by the Team Lead.
  • Unapproved Breaks: Unjustified breaks taken without the approval of the Team Lead will result in a reduction of login hours and impact payroll.
  • Punctuality: If late within 15 minutes up to three times in a month, each instance will count as 15 minutes less login time. More than three instances will result in double login hour deductions as a penalty.

4. Relationship Management

  • Client Relationships: Build and maintain strong relationships with clients to ensure repeat business and referrals.
  • Vendor Relationships: Develop and nurture relationships with travel suppliers, airlines, hotels, and other vendors.
  • Networking: Participate in industry events, trade shows, and networking activities to build connections and stay updated on industry trends.

5. Marketing and Promotion

  • Campaign Participation: Actively participate in marketing campaigns and promotional activities to drive sales.
  • Social Media Engagement: Engage with clients and prospects through social media platforms, promoting travel products and services.
  • Feedback Collection: Gather feedback from clients to understand their experiences and improve service quality.

6. Compliance and Training

  • Policy Adherence: Ensure compliance with company policies, industry regulations, and legal requirements.
  • Training and Development: Participate in training sessions and stay updated on new travel products, technologies, and industry trends.
  • Quality Standards: Adhere to quality standards set by the company to ensure high levels of client satisfaction.

7. Reporting and Analysis

  • Sales Reports: Prepare and submit regular sales reports, including performance metrics and target achievements.
  • Market Analysis: Conduct market research to identify new business opportunities and stay informed about competitors.
  • Performance Review: Participate in regular performance reviews and provide feedback for continuous improvement.
