Job Posting: Remote Business Success Partner (Not a "Task-Bot")
Job Title: Administrative Assistant
Location: Remote (India-based)
Type: Full-Time / Long-Term
Working Hours: [Insert Shift, e.g., 6 PM – 3 AM IST / 9 AM – 6 PM EST]
Equipment Required: High-speed internet (20Mbps+), Power Backup (UPS/Inverter), Noise-canceling Headset.
The Role
We are not looking for someone to just "check boxes." We are looking for a Success Partner to join our client’s team. You will not just be doing tasks; you will be building systems, documenting processes, and proactively finding ways to save the business owner time.
If you are the type of person who waits for a "To-Do" list every morning, this is not the role for you. If you are the type of person who looks at a messy process and says, "I can make this better," we want to talk to you.
Key Responsibilities
• Operations & Scheduling: Prepare and manage employee schedules one month in advance; monitor attendance, no-shows, and labor compliance; track time-off requests; schedule interviews, evaluations, and exit meetings; coordinate with contractors for maintenance and repairs.
• Inventory & Cost Control: Maintain inventory counts and running totals; compile weekly ordering lists; place and receive orders; update inventory quantities and pricing; support accurate COGS reporting; manage daily ice cream flavor lists and produce printable PDFs; oversee supplies, merchandise, and disposable items.
• Employee Records & Accountability: Maintain employee files and milestones; track training completion and compliance documentation; manage uniform and T-shirt allotments; ensure evaluations are completed on schedule; support systems for accountability and performance tracking.
• Marketing & Online Presence Support: Update and maintain online listings and platforms; create branded digital assets; schedule and post social content; support promotions, specials, and Google Ads updates; ensure brand consistency across channels.
• Vendor & Partner Coordination: Communicate with technology, marketing, and service vendors; track contracts and renewal dates; support renegotiations as needed; coordinate with accounting on purchases, budgets, and food costs; compile metrics and insights.
• Catering & Business Development Support: Enter and maintain catering client data; organize client lists; follow up on catering leads; support funnel management and account growth.
• Events & Growth Support: Assist with planning and coordination of local and citywide events; gather event details; track action steps to ensure efficient participation.
Core Focus:
This role directly handles administrative and operational tasks the Owner does not want to manage, including manual inventory processes, schedule coordination, employee record tracking, vendor follow-ups, social content scheduling, catering lead follow-up, and accountability tracking through established systems.
