๐งฉ Who We're Looking For:
Weโre seeking a highly organized, detail-oriented, and reliable administrative professional who can work independently and efficiently. This person should be proactive, tech-savvy, and capable of handling a wide variety of administrative tasks that support our daily business operations.
๐ Shift Details:
- Work Hours: Night Shift Preferred (6pm - 2am)
- Days: Monday to Friday
๐ Key Responsibilities:
- Inbox Management: Sort, respond to, and organize emails; flag important messages for follow-up.
- Data Entry & Management: Maintain spreadsheets, CRM updates, and internal documentation.
- Lead Management: Update and organize leads in our system; assign leads based on criteria.
- Scheduling: Set up appointments and manage calendars for team members.
- Document Handling: Prepare and organize documents such as contracts, agreements, and reports.
- Property Research: Use online tools (e.g., Zillow, Realtor.com) to gather property data if needed.
- Task Coordination: Work closely with other team members to follow up on pending tasks.
- General Admin Support: Assist with miscellaneous tasks such as organizing Google Drive, renaming files, etc.
๐ป Minimum Requirements (Must-Have Equipment & Setup):
- A reliable laptop or desktop computer (with at least 8GB RAM and a working webcam)
- Stable high-speed internet connection (minimum 25 Mbps download/upload speed)
- A noise-canceling headset or headphones with a clear mic
- A quiet, dedicated work environment free from background noise or interruptions
- Power backup or UPS in case of power outages
- A professional work-from-home setup to ensure productivity during night hours
โ Ideal Candidate Profile:
- Prior experience in administrative roles or as a virtual assistant (real estate experience is a plus)
- Fluent in written and spoken English
- Tech-savvy โ comfortable using tools like Google Workspace, Trello, CRM systems, Excel/Sheets
- Strong attention to detail and highly organized
- Able to work during night hours without supervision
