 Job Title: Executive Assistant to the Sales Director

Job PurposeKarara Mujassme is seeking a highly organized, proactive, and dependable Executive Assistant to provide strategic and administrative support to the Sales Director. This role requires strong coordination skills, discretion, business understanding, and the ability to manage high-level communication and follow-ups across sales operations.


The Executive Assistant will act as the Sales Director’s right hand, ensuring seamless scheduling, structured follow-ups, pipeline visibility, and smooth coordination between sales, production, and external stakeholders.


Key Responsibilities

1. Executive Support & Calendar Management

  • Manage and optimize the Sales Director’s calendar, meetings, travel, and appointments
  • Prioritize client meetings based on revenue potential and business urgency
  • Prepare daily schedules and briefing notes
  • Anticipate scheduling conflicts and proactively resolve them


2. Communication & Correspondence

  • Draft emails, proposals, and client responses on behalf of the Sales Director
  • Act as the first point of contact for key clients and partners
  • Screen calls, emails, and meeting requests
  • Maintain confidentiality of sensitive pricing, client, and business information


3. Sales Coordination & Follow-up Management

  • Prepare meeting agendas, sales briefs, and client background notes
  • Track client discussions, quotations, and proposal follow-ups
  • Maintain pipeline trackers and ensure timely follow-ups by the sales team
  • Coordinate inter-departmental communication (sales, production, logistics) as directed
  • Ensure execution of action items discussed in internal and client meetings


4. Business Reporting & Strategic Support

  • Assist in preparing sales presentations and revenue reports
  • Maintain dashboards for targets, collections, and performance tracking
  • Support basic competitor tracking and sales intelligence
  • Maintain structured documentation of contracts, proposals, and client data


5. Travel & Logistics

  • Arrange travel bookings, accommodation, and itineraries
  • Manage client meeting schedules during travel
  • Maintain expense records and documentation


Required Qualifications

  • Bachelor’s degree in Business Administration, Marketing, or related field
  • 1–2 years of experience in Executive Assistance, Sales Coordination, or similar roles
  • Strong proficiency in MS Office (Excel proficiency is essential)
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
