Job Description

The Candidate will provide high-level administrative support to the CEO and other executive members, ensuring efficient operation of the executive office. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to support executive functions and organizational goals.


Note: Sometimes may have to travel for meetings.


**Key Responsibilities**:


1. **Administrative Support**:

  - Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.

  - Screen and direct incoming calls, emails, and correspondence.

  - Prepare and edit correspondence, communications, presentations, and other documents.


2. **Meeting Coordination**:

  - Organize and coordinate executive meetings and events, including preparing agendas, taking minutes, and following up on action items.

  - Arrange conference calls, board meetings, and team activities.


3. **Travel Management**:

  - Plan and book travel arrangements for executives, including flights, accommodations, and transportation.

  - Prepare travel itineraries and ensure all details are confirmed and communicated.


4. **Communication Liaison**:

  - Act as a point of contact between executives, employees, clients, and external partners.

  - Communicate on behalf of executives, including drafting and sending emails and letters.


5. **Project Management**:

  - Assist in the planning and execution of special projects and initiatives.

  - Coordinate cross-departmental activities and ensure timely completion of projects.


6. **Document Management**:

  - Maintain accurate and organized filing systems, both electronic and paper-based.

  - Handle confidential information with discretion and integrity.


7. **Office Management**:

  - Order and manage office supplies and equipment.

  - Ensure the executive office is well-organized and operates efficiently.


8. **Miscellaneous Duties**:

  - Conduct research and prepare reports as needed.

  - Perform additional administrative tasks and support duties as required.


**Qualifications**:


- **Education**: Bachelor’s degree in Business Administration, Communications, or related field preferred.

- **Experience**: Minimum of 2 to 3 years of experience in an executive assistant role or similar capacity.

- **Skills**:

 - Exceptional organizational and time-management skills.

 - Strong verbal and written communication abilities.

 - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

 - Ability to multitask and prioritize workload in a fast-paced environment.

 - High level of professionalism and confidentiality.

 - Excellent interpersonal skills and the ability to work collaboratively with all levels of staff and external partners.


**Working Conditions**:


- This position is typically office-based with standard working hours. Occasional overtime or weekend work may be required to meet deadlines or support special events.

- The role may require occasional travel for meetings or conferences.
