Job Description

We are looking for a highly organised, proactive and detail-oriented Personal Assistant / Executive Assistant to support the Founder in day-to-day professional and personal work management. The ideal candidate should be excellent at planning, communication, follow-ups and time coordination. This role requires ownership, confidentiality, and the ability to anticipate needs.

  • Key ResponsibilitiesCalendar & Schedule Management

  • Schedule, organise and coordinate meetings, appointments, conferences and calls
  • Prevent scheduling conflicts and ensure buffer time between engagements
  • Share timely reminders and daily agenda overview
  • Communication & Coordination

  • Act as the point of contact between the Founder and internal/external stakeholders
  • Draft emails, take meeting notes and ensure follow-through on pending action items
  • Screen and prioritise communications
  • Task & Workflow Management

  • Maintain a running task list and ensure all work items are completed within deadlines
  • Ensure all follow-ups are done on time with relevant parties
  • Track progress on projects and high-priority initiatives
  • Travel & Logistics

  • Plan and book flights, transportation and accommodation when required
  • Prepare itineraries and coordinate meeting schedules during travel
  • Personal Assistance

  • Handle some personal administration tasks: bill payments, reservations, reminders etc.
  • Organise documents and maintain digital files
  • Day Structuring & Efficiency

  • Ensure the Founder’s day runs smoothly and productively
  • Identify time drains and suggest workflow improvements
  • Help create routines and structures for better time optimisation
  • Ideal Candidate Profile2+ years of experience as an EA/PA or administrative coordinator
  • Excellent communication skills (written & verbal)
  • Outstanding organisational and time-management skills
  • Strong follow-up ability — nothing falls through the cracks
  • Tech-savvy (Google Calendar / Notion / Excel / Zoom / WhatsApp coordination etc.)
  • Discreet, reliable and trustworthy — able to handle confidential information
  • Ability to work in a fast-paced and dynamic environment
