Role Overview

We are seeking a highly organized, articulate, and detail-oriented Operations & Documentation Coordinator to serve as the backbone of our administrative functions. In this role, you will be the primary custodian of our corporate communication and documentation. You won't just be "filing"—you will be crafting the voice of the company through professional proposals, managing critical notices, and ensuring our back-office processes run like a well-oiled machine.


  • Key ResponsibilitiesProfessional Correspondence: Draft, format, and proofread high-stakes emails, formal letters, and official company notices with 100% accuracy.
  • Sales & Business Support: Collate data to prepare formal quotations and business proposals for prospective clients.
  • Document Management: Maintain a rigorous digital and physical filing system to ensure all contracts, records, and templates are easily retrievable.
  • Back-Office Operations: Oversee day-to-day administrative tasks, including data entry, basic reporting, and coordinating workflow between departments.
  • Compliance & Notices: Handle the intake and dispatch of legal or formal notices, ensuring deadlines are tracked and met.
  • Required Skills & QualificationsThe "Writer’s Touch": Exceptional command of English (grammar, tone, and clarity). You should be able to turn a rough bullet-point list into a polished formal letter.
  • Technical Proficiency: Advanced skills in MS Office (Word and Excel) and experience with cloud-based filing (Google Drive, Dropbox, or SharePoint).
  • Detail Obsession: A "measure twice, cut once" mentality. You spot the typo in the fine print that everyone else misses.
  • Organization: Ability to prioritize a high volume of tasks without losing track of long-term projects like filing audits.
