Clerical Staff – Job Description

Position Summary:

Clerical Staff are responsible for providing administrative and office support to ensure smooth day-to-day operations. They handle documentation, record keeping, communication, and basic coordination tasks within the organization.

Key Responsibilities:

Maintain and organize files, records, and office documents

Perform data entry and update information in systems and registers

Handle incoming and outgoing correspondence (emails, letters, courier, etc.)

Answer phone calls and direct inquiries to the appropriate departments

Prepare reports, forms, and routine documents as required

Assist in scheduling meetings, appointments, and maintaining calendars

Support other departments with clerical and administrative tasks

Maintain office supplies inventory and place orders when necessary

Ensure proper documentation and filing for easy retrieval

Follow company procedures for record management and confidentiality

Required Skills & Qualifications:

Basic computer knowledge (MS Office – Word, Excel, Email)

Good typing and data entry skills

Strong organizational and time management abilities

Attention to detail and accuracy in documentation

Good written and verbal communication skills

Ability to handle routine office equipment (printer, scanner, copier)
