Job Description

Job Summary:

We are seeking a highly organized and detail-oriented office manager to support the Director of our Evergrade Security and Manpower Services company. The ideal candidate will be responsible for managing the Director’s schedule, coordinating meetings, handling correspondence, and providing administrative support. A strong command of Microsoft Excel, computer skills, and the ability to multitask in a fast-paced environment is essential.

Key Responsibilities:

  • Calendar Management: Organize and manage the Director’s schedule, including setting appointments, arranging meetings, and managing travel arrangements.
  • Communication: Handle all correspondence, including emails, phone calls, and written communication. Serve as the primary point of contact between the Director and internal/external stakeholders.
  • Data Management: Create, maintain, and update spreadsheets and databases using Microsoft Excel for various reports and data tracking.
  • Document Preparation: Prepare presentations, reports, and documents as required by the Director, ensuring accuracy and timeliness.
  • Meeting Coordination: Schedule, coordinate, and prepare agendas for meetings. Record and distribute meeting minutes, and follow up on action items.
  • Office Management: Maintain office supplies and equipment, and coordinate with vendors as needed.
  • Project Support: Assist in special projects, research tasks, and other duties as assigned to support the Director's initiatives.
  • Confidentiality: Handle sensitive information with a high degree of professionalism and confidentiality.
  • Qualifications:
  • Education: Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
  • Experience: 2+ years of experience in an executive assistant or similar role, preferably in the security or manpower services industry.
  • Skills:

o Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.

o Strong organizational skills with the ability to prioritize tasks and manage time

effectively.

o Excellent written and verbal communication skills. o Ability to work independently and as part of a team.

o Strong problem-solving skills and attention to detail. o High level of professionalism and discretion.
