Job Description

  • Personal Assistant (PA) – Director / MD / Site Head (Hospital / Healthcare Infrastructure Project)
  • 1. Executive & Administrative Support Provide full administrative support to the Director / MD / Site Head
  • Manage daily schedules, meetings, and appointments efficiently
  • Draft, review, and manage official correspondence, letters, reports, and presentations
  • Maintain proper filing and documentation related to hospital and project operations
  • 2. Project & Site Coordination Coordinate with site engineers, project managers, contractors, vendors, and consultants
  • Track project-related communications, approvals, and instructions issued by management
  • Assist in monitoring project timelines, milestones, and deliverables
  • Support coordination for hospital infrastructure works such as OT, ICU, MGPS, NCS, HVAC, and allied services
  • 3. Communication & Liaison Act as a single point of contact between management and internal/external stakeholders
  • Handle communication with hospital authorities, doctors, consultants, and vendors
  • Ensure timely flow of information and follow-up on action points
  • 4. Meetings, MOM & Reporting Schedule and organize review meetings, site meetings, and client meetings
  • Prepare Minutes of Meeting (MOM) and circulate to concerned teams
  • Maintain action trackers and follow up on pending items
  • Prepare daily/weekly/monthly reports for management review
  • 5. Travel & Site Visit Management Arrange travel, accommodation, and logistics for management and site visits
  • Prepare visit schedules, agendas, and required documents
  • Coordinate with site teams for smooth execution of visits and inspections
  • 6. Confidentiality & Compliance Maintain strict confidentiality of strategic, financial, and project-related information
  • Handle sensitive documents such as contracts, tenders, BOQs, drawings, and approvals
  • Ensure compliance with company policies and hospital standards
  • 7. Vendor, Client & Documentation Support Assist in tender documentation, quotations, and comparative statements
  • Coordinate with procurement and accounts teams for approvals and follow-ups
  • Maintain records of purchase orders, work orders, and agreements
  • 8. Hospital Operations & Standards Support Assist management in coordination related to NABH / NABL / statutory requirements (if applicable)
  • Support documentation for audits, inspections, and handover processes
  • Coordinate between project and hospital operations teams
  • 9. Professional Conduct & Additional Responsibilities Represent management professionally at all times
  • Maintain discipline, accuracy, and timely execution of assigned tasks
  • Perform any other duties as assigned by the Director / MD / Site Head from time to time
