Base Location: Gurgaon . Hybrid : Work from home and Travel | Domestic and international travel
Type: Full-time | Secretary-Level | Leadership-Facing Role
Travel: Extensive travel with CEO / Director across Delhi , Himachal Pradesh , Punjab & Major Indian cities,
Hyderabad based company expanding to North India.
Role Purpose
This role is designed for confident young women who aspire to work closely with senior leadership. The Executive Secretary will travel directly with the CEO / Director, attend meetings alongside them, and ensure continuity by managing coordination and follow-ups after meetings conclude. This is a high-trust, high-visibility position combining lifestyle, responsibility, and professional growth.
Core Responsibilities
Travel with CEO / Director
• Accompany the CEO / Director for corporate meetings, CSR discussions, site visits, exhibitions, and reviews.
• Manage travel schedules, itineraries, logistics, and on-ground coordination.
• Act as the coordination anchor during travel, meetings, and events.
Meeting Presence & Follow-Up Ownership
• Be present in meetings to capture discussions, decisions, and action points.
• Ensure structured follow-up with stakeholders once meetings are completed.
• Track commitments, timelines, and deliverables discussed by the CEO / Director.
Executive & Secretarial Support
• Manage calendars, appointments, emails, and priority communications.
• Prepare briefing notes, presentations, and meeting documents.
• Maintain confidentiality and professionalism at all times.
Coordination, Events & Representation
• Coordinate with internal teams, partners, NGOs, corporates, and institutions.
• Attend conferences, exhibitions, workshops, and official events with leadership.
• Represent the office confidently in professional environments.
Ideal Candidate Profile
• Young women based in or willing to relocate to Mangalore.
• Comfortable travelling extensively with CEO / Director.
• Well-presented, confident, and articulate in professional settings.
• Strong coordination, follow-up, and organizational skills.
• Proficiency in MS Word, Excel, PowerPoint, email, and digital tools.
• Prior experience as an Personal Secretary / EA / PA is an advantage.
