Job Description
We are seeking a professional and organized Receptionist / Office Administrator to manage front desk operations while providing essential office administrative support. The role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Front Desk & Reception DutiesGreet and welcome visitors in a courteous and professional manner
- Answer, screen, and direct incoming phone calls
- Manage visitor logs and issue visitor passes
- Maintain a clean, organized, and professional reception area
- Provide basic information to visitors and clients
- Office Administration ActivitiesHandle daily office administrative tasks and documentation
- Maintain filing systems (physical and electronic)
- Perform data entry and update records accurately
- Manage office calendars, meeting schedules, and appointments
- Coordinate meetings, prepare meeting rooms, and arrange refreshments
- Receive, sort, and distribute mail and courier deliveries
- Manage office supplies inventory and place purchase requests
- Coordinate with vendors, service providers, and maintenance staff
- Assist HR and Finance teams with administrative support (attendance records, invoices, expense tracking, etc.)
- Prepare basic reports, letters, and correspondence
- Ensure compliance with office policies and procedures
- Support management with ad-hoc administrative tasks as required
- Required Qualifications & SkillsHigh school diploma or equivalent (Bachelor’s degree preferred)
- Proven experience as a receptionist, office administrator, or similar role
- Strong verbal and written communication skills
- Professional appearance and customer-focused attitude
- Excellent organizational and multitasking abilities
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Ability to handle confidential information with discretion
- Working ConditionsOffice-based role
- Standard business hours ( 9 AM - 6 PM)
