JLL India is seeking a dedicated Assistant Facility Manager specializing in soft services to support comprehensive facility operations at a client site. This role focuses on managing housekeeping, landscaping, pest control, security coordination, pantry services, and other soft services while ensuring exceptional service delivery standards. The AFM Soft Services will work closely with the Facility Manager to maintain optimal facility performance and occupant satisfaction across all soft service functions.
Key Responsibilities
Housekeeping and Cleaning Operations Oversee daily housekeeping operations including office cleaning, washroom maintenance, common area upkeep, and specialized cleaning requirements. Manage housekeeping staff scheduling, work allocation, and quality control inspections to ensure consistent service standards. Coordinate deep cleaning activities, carpet cleaning, window cleaning, and periodic maintenance cleaning projects. Monitor cleaning supplies inventory and coordinate procurement while controlling costs and waste.
Landscaping and Grounds Maintenance Supervise landscaping contractors and internal grounds staff to maintain outdoor areas, gardens, lawns, and plant installations. Coordinate seasonal landscaping activities including planting, pruning, fertilization, and pest control treatments. Monitor irrigation systems and coordinate water management for landscape areas. Ensure compliance with local environmental regulations and sustainable landscaping practices.
Pest Control Management Coordinate integrated pest management programs including regular inspections, preventive treatments, and corrective actions. Maintain pest control documentation and ensure compliance with health department requirements and client standards. Monitor service provider performance and coordinate emergency pest control interventions when necessary.
Security Coordination Support security operations by coordinating with security vendors, managing access control systems, and maintaining visitor management protocols. Assist in security incident reporting, emergency response procedures, and coordination with local law enforcement when required. Monitor CCTV systems and coordinate security equipment maintenance and upgrades.
Pantry and Catering Services Manage pantry operations including beverage services, snack provisions, and kitchen maintenance. Coordinate catering services for client events, meetings, and special occasions while ensuring food safety compliance. Monitor pantry supplies inventory and coordinate procurement within approved budgets. Ensure compliance with food handling regulations and hygiene standards.
Vendor Management and Coordination Manage relationships with soft services vendors including cleaning companies, landscaping contractors, pest control providers, and security services. Monitor vendor performance against service level agreements and conduct regular performance reviews. Coordinate vendor activities to minimize disruption to business operations while maintaining service quality standards.
Quality Assurance and Compliance Conduct regular quality inspections across all soft services areas using established checklists and standards. Implement corrective actions for service deficiencies and track resolution to completion. Maintain detailed service records and prepare regular performance reports for facility management. Ensure compliance with local regulations, client requirements, and JLL service standards.
Occupant Services Support Respond to occupant requests related to housekeeping, landscaping, pest issues, and other soft services concerns through established work order systems. Coordinate special cleaning requirements, event support, and ad-hoc service requests. Maintain positive relationships with building occupants through responsive service delivery and professional communication.
Required Qualifications
Experience and Background Minimum 3-5 years of experience in facility management, property management, or related services industry with focus on soft services operations. Previous experience managing housekeeping, landscaping, or security operations in commercial office environments preferred. Background in vendor management and service quality assurance advantageous.
Technical Competencies Knowledge of housekeeping procedures, cleaning chemicals, and equipment operation. Understanding of landscaping practices, plant care, and irrigation systems. Familiarity with pest control methods and integrated pest management principles. Basic knowledge of security systems and access control technologies. Proficiency in Microsoft Office applications and facility management software.
Professional Skills Strong supervisory skills with ability to manage and motivate service staff and contractor teams. Excellent communication abilities in English and local languages for interfacing with vendors, occupants, and internal teams. Problem-solving capabilities with proactive approach to identifying and resolving service issues. Detail-oriented approach with strong organizational and time management skills.
Industry Knowledge Understanding of Indian labor laws, contractor management regulations, and local compliance requirements. Knowledge of health and safety regulations related to cleaning, landscaping, and food services. Familiarity with environmental regulations and waste management practices. Awareness of cultural considerations in service delivery within Indian corporate environments.
Core Competencies Customer service orientation with focus on occupant satisfaction and service excellence. Ability to work independently while maintaining accountability to facility management objectives. Flexibility to adapt to changing priorities and emergency situations. Cost consciousness with focus on optimizing service delivery within budget constraints.
