About your team

Global HR Shared Services function is a central hub of capabilities to provide HR Support Services, Payroll & Background Vetting services to staff and HR teams across all business areas. The objective of the function is to leverage HR technology infrastructure to deliver efficient HR processes and aim for operational excellence globally. Our team members are based in key hub locations across India, Asia, UK and Europe to provide these services globally within FIL.

The HR Support team is responsible for the provision of administration support and process activities relating to the key moments in an employee’s work lifecyle. Working in partnership with the HR community such as HR Business Partners, Talent Acquisition, Reward, Payroll, Background Vetting, HR Legal and HR Information Systems, as well as all business stakeholders for the region.

Purpose of the Role

The role is responsible to deliver seamless and compliant onboarding experiences for new employees across India, CE, UK, and APAC while ensuring adherence to global HR standards. By managing end-to-end onboarding operations and conducting regular audits, the role ensures that every new hire transitions smoothly into the organization, regulatory requirements are met, and HR processes continue to improve. This position acts as a critical link between new employees, HR teams, and business stakeholders, driving both operational excellence and a positive employee experience.

Key responsibilities

  • Facilitate the end-to-end onboarding process for new hires across multiple geographies (India, CE, UK, and APAC).
  • Ensure all pre-boarding and post-boarding documentation and requirements are completed accurately and on time.
  • Assisting with onboarding processes for new recruits, including paperwork completion.
  • Ensuring the data held on Workday (HR System) meets accuracy and quality standards
  • Coordinate with cross-functional teams (Payroll, IT, Facilities, Business HR) to ensure seamless employee onboarding.
  • Create a positive, engaging onboarding experience that reflects the company’s culture and values.
  • Participate in the project and change meetings and ensure impact of the changes on processes is understood. Update the SOPs for the changes in processes or technical system changes
  • Perform data reconciliation to determine and maintain accuracy in HR core system.
  • Partner with internal and external auditors to ensure timely responses and corrective actions.
  • Generating reports and analysing HR data as needed.
  • Ensuring compliance with all applicable laws and regulations.
  • Understand and maintain high degree of confidentiality with respect to employee data
  • Participate in Workday and other system related testing of data updates and accuracy.
  • Continuously improving HR processes and service delivery.
  • Collaborating with other HR team members to ensure seamless service delivery.
  • Suggest and implement process improvements for onboarding and auditing workflows.
  • Collaborate on global HR projects and initiatives, contributing to the evolution of our onboarding function.
  • Participating in HR projects and initiatives.

What We’re Looking For

  • 2+ years of HR operations or onboarding experience, preferably in a global setup.
  • Strong knowledge of HR compliance, employee lifecycle, and documentation.
  • Excellent organizational skills with keen attention to detail.
  • Strong interpersonal skills with the ability to work across cultures and time zones.
  • Hand on experience and Working knowledge on Workday is essential
  • Ability to prioritize and manage assigned workload adhering to the schedule
  • Proactive, hands-on with can-do approach
  • Strong team player
