Executive Assistant to CAO

Responsibilities

Strategic Planning and Execution:

Partner with executives in strategic planning efforts, ensuring alignment with company goals and objectives.

Support strategic projects from initiation to completion, including planning, resource allocation, execution, and performance tracking. Track and monitor the progress of key initiatives and projects, providing regular status updates and recommending adjustments when necessary.

Decision Support:

Conduct in-depth research on industry trends, competitor analysis, and market developments to support strategic planning and decision-making.

Prepare executive briefs, reports, presentations and dashboards that provide insights and data-driven recommendations to inform business decisions.

Assist in the development and review of business strategies, proposals, and presentations, ensuring alignment with organizational goals.

Tactical Operations and Business Optimization:

Analyze and optimize business processes within the executive office to improve operational efficiency. Support cost-efficiency initiatives, ensuring resource allocation aligns with strategic goals.

High-Level Calendar and Event Management:

Manage complex calendars for senior executives, coordinating strategic meetings and ensuring alignment with business priorities. Ensure meeting agendas are aligned with business goals, follow-up on actions, and ensure all necessary stakeholders are involved.

Organize high-profile events, meetings, and conferences, managing logistics, participant coordination, and post-event follow-ups.

Collaborate with cross-functional teams to ensure the successful delivery of project outcomes, providing updates and managing project timelines

Crisis Management and Problem Solving:

Act as a first point of contact in emergencies or urgent situations, coordinating responses and communicating critical information as needed.

Quickly assess and resolve issues that arise, using sound judgment to make decisions that minimize disruption to executive and business operations.

Documentation and Compliance:

Develop executive-level communication materials, including reports, white papers, presentations, and newsletters. Ensure that the messaging from the executive office is consistent with the organization's goals and values.

Handle confidential and sensitive information with the utmost discretion and professionalism.

Stakeholder Communication and Management:

Act as a liaison between the executive team and internal/external stakeholders.

Build and maintain strong relationships with clients, partners, and key organizational contacts.

Ensure smooth communication flow between the executive office and other departments to drive collaboration and organizational efficiency.

Department Heads (Finance, HR, Legal, Operations)

Clients and Business Partners

Vendors and Suppliers

Event Organizers

Regulatory bodies (as needed)

 

Qualifications

Education Qualification:

Master’s degree in Business Administration (MBA), Management, or a related field from a reputed institution is required.

Certification in Project Management or other relevant certifications is preferred.

Work Experience:

5-8 years of experience in an executive support role, preferably within a corporate or large organizational setting. Experience in project management and supporting senior executives.
