Associate Manager -Stores

Responsibilities

Stores Lead - O5

Inventory Management:

  • Monitor and maintain optimal inventory levels to meet operational demands and minimize holding costs, ensuring that stock is available to meet laying/construction needs without overstocking.
  • Implement and oversee comprehensive inventory control procedures to ensure accurate records of all inventory transactions, including receiving, storing, and dispatching material.
  • Conduct regular and thorough audits of inventory to ensure accuracy, identify discrepancies, and take corrective actions as necessary to maintain data integrity.
  • Develop and implement strategies to optimize inventory turnover, reduce obsolete or excess stock, and improve inventory holding efficiency to support organizational goals.
  • Coordinate with suppliers to ensure the timely delivery of materials, resolve any supply issues promptly, and maintain effective supplier relationships to support continuous improvement initiatives.

Procurement Coordination:

  • Collaborate with the TechnoCommercial team to accurately forecast inventory needs based on historical data and projected demand, ensuring that inventory levels are aligned with business requirements.
  • Evaluate supplier performance rigorously and help TechnoCommercial team negotiate contracts to ensure cost-effective purchasing, taking into consideration both quality and cost factors.
  • Ensure all procurement activities are conducted in compliance with company policies and regulatory requirements, flagging any potential risks when required.
  • Review and ensure accuracy of purchase orders for inventory replenishment, ensuring accuracy and alignment with budgetary constraints and operational needs.
  • Monitor market trends to identify potential risks and opportunities in the supply chain, proactively adjusting procurement strategies to mitigate risks and capitalize on opportunities.
  • Establish and maintain strong and collaborative relationships with key suppliers, fostering partnerships that support mutual growth and continuous improvement.

Logistics and Distribution:

  • Coordinate with logistics providers to ensure the timely and efficient delivery of materials, minimizing delays and ensuring that inventory is available when needed to support operations.
  • Develop and implement effective distribution strategies to minimize transportation costs and delivery times, enhancing overall supply chain efficiency.
  • Oversee the receiving, storage, and distribution of inventory to various locations, ensuring that all processes are conducted in accordance with company policies and safety regulations.
  • Ensure all materials are stored and handled in accordance with safety and regulatory guidelines, maintaining a safe and compliant working environment.
  • Implement and monitor procedures for the return and replacement of defective or excess items, ensuring that inventory records are updated accurately and promptly.
  • Track and analyze transportation costs and develop strategies to improve efficiency, reduce costs, and enhance service levels.

Team Leadership and Development:

  • Supervise and provide guidance to the inventory management team, ensuring effective performance, productivity, and adherence to company policies and procedures.
  • Conduct regular performance evaluations and provide constructive feedback to team members, identifying areas for improvement and opportunities for professional development.
  • Identify training needs and coordinate professional development opportunities for the team, fostering a culture of continuous learning and improvement.
  • Foster a collaborative and productive work environment to achieve team goals, promoting teamwork, communication, and mutual respect among team members.
  • Develop and implement standard operating procedures for all inventory management tasks, ensuring consistency and efficiency in operations.
  • Lead regular team meetings to discuss inventory issues, updates, and improvement strategies, ensuring that all team members are informed and aligned with departmental goals.

Reporting and Analysis:

  • Prepare comprehensive and detailed reports on inventory levels, turnover rates, and other key performance indicators, providing insights and recommendations for improvement to Regional Head.
  • Analyze inventory data to identify trends, forecast future needs, and make informed decisions that support strategic planning and operational efficiency.
  • Present inventory performance reports to senior management, highlighting key findings and recommending actions for improvement and cost optimization.
  • Monitor and report on inventory-related financial metrics, including costs, variances, and budget adherence, ensuring transparency and accountability.
  • Ensure compliance with internal and external audit requirements, maintaining accurate and up-to-date documentation of all inventory-related activities and transactions.

Qualifications

Educational Qualification:

Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field. Master’s degree in Business Administration (MBA) or a related advanced degree is preferred.

Work Experience:

At least 4-5 years of experience in inventory management, supply chain, or logistics.

Experience in managing inventory in a regional or multi-site setting is preferred.

Preferred Industry:

Experience in gas distribution, oil and energy, utilities, or related sectors with a strong focus on inventory management and supply chain operations.
