A Reservation Manager in hotels and resorts plays a key role in maximizing occupancy, revenue, and guest satisfaction by overseeing all booking-related operations. Here’s a clear breakdown of their roles and responsibilities:

  • 🔑 Core Responsibilities1. Reservation Operations ManagementOversee daily reservation activities (individual, group, corporate bookings)
  • Ensure accurate entry of bookings into the property management system (PMS)
  • Monitor room availability and allocation
  • 2. Revenue & Yield ManagementWork closely with the revenue team to optimize room rates
  • Implement pricing strategies based on demand, seasonality, and market trends
  • Control overbooking strategies to maximize occupancy without affecting guest experience
  • 3. Distribution Channel ManagementManage online travel agencies (OTAs) like Booking.com, Expedia, and Airbnb
  • Ensure rate parity and accurate inventory across all channels
  • Coordinate with channel managers and booking platforms
  • 4. Team Leadership & TrainingSupervise reservation agents and staff
  • Conduct training on systems, customer service, and upselling techniques
  • Schedule shifts and manage team performance
  • 5. Guest Communication & ServiceHandle reservation inquiries via phone, email, and online platforms
  • Manage special requests, VIP bookings, and complaints related to reservations
  • Ensure prompt and professional communication
  • 6. Reporting & ForecastingPrepare daily, weekly, and monthly reservation reports
  • Forecast occupancy and revenue trends
  • Analyze booking patterns and market demand
  • 7. Coordination with Other DepartmentsWork closely with front office, housekeeping, and sales teams
  • Ensure smooth check-in/check-out planning
  • Share group booking details and special arrangements
  • 8. Policy Implementation & ComplianceEnforce cancellation policies, no-show procedures, and booking terms
  • Ensure compliance with hotel standards and legal requirements
  • 9. System & Technology ManagementMaintain and update reservation systems (PMS, CRS)
  • Troubleshoot booking issues and ensure data accuracy
  • Implement new tools or software when needed
