Job Title -Executive Assistant to CEO


Job Summary -

The Executive Assistant (EA) to the CEO provides high-level administrative, operational, and strategic support to the Chief Executive Officer. The role requires confidentiality, business acumen, coordination capability, and strong execution discipline. The EA acts as a liaison between the CEO and internal/external stakeholders, ensuring seamless communication, prioritization, and follow-through on key initiatives.

This position demands maturity, discretion, analytical thinking, and hospital operations understanding.


  • Key ResponsibilitiesA. Executive & Strategic SupportManage CEO’s calendar, appointments, travel plans, and priority scheduling.
  • Prepare agendas, briefing notes, dashboards, and presentations for leadership meetings.
  • Track strategic initiatives, action points, and ensure closure within defined timelines.
  • Coordinate Board/Management review meetings and circulate MOMs with accountability matrix.
  • Maintain confidential records and sensitive business documents.
  • B. Hospital Operations CoordinationFollow up with department heads (Medical, Nursing, Operations, Finance, HR, Marketing).
  • Monitor daily census, revenue performance, cash flow alerts, and operational escalations.
  • Support implementation of SOPs, performance metrics, and governance controls.
  • Escalate operational risks to CEO with structured analysis and recommendations.
  • C. Communication & LiaisonDraft internal communications, circulars, and executive correspondence.
  • Act as single-point coordination between CEO and senior stakeholders.
  • Handle external interactions with consultants, vendors, and institutional partners.
  • Ensure brand-aligned communication standards are maintained.
  • D. Data & ReportingPrepare daily/weekly/monthly MIS for CEO review.
  • Consolidate departmental reports into executive dashboards.
  • Analyze trends in occupancy, revenue, receivables, and cost heads.
  • Maintain documentation repository (digital & physical) with version control.
  • E. Governance & ConfidentialityMaintain absolute confidentiality on financials, HR matters, and strategic plans.
  • Track compliance timelines (licenses, statutory filings, accreditations).
  • Support audit documentation and regulatory submissions when required.
