ob Summary:

The Stores Officer is responsible for overseeing the efficient receipt, storage, and issuance of materials, ensuring proper inventory control, and maintaining accurate records of all transactions. This role involves coordinating with various departments to fulfill material requests and ensuring compliance with organizational policies and procedures.

Key Responsibilities:

Inventory Management:

Receive incoming materials and verify against purchase orders to ensure accuracy.

Inspect received materials for damage and discrepancies, and report any issues to the appropriate personnel.

Properly store materials in designated locations, ensuring efficient space utilization and adherence to safety protocols.

Conduct periodic physical inventory counts to reconcile discrepancies and maintain accurate inventory records.

Monitor inventory levels and initiate replenishment orders as needed to prevent stockouts.

Issuance and Distribution:

Process material requisitions from various departments in a timely manner, ensuring accuracy and completeness.

Prepare materials for issuance, including proper packaging and labeling as required.

Coordinate with internal stakeholders to schedule and prioritize material deliveries according to operational needs.

Maintain documentation of all material transactions, including issuance, returns, and transfers.

Quality Control:

Conduct quality inspections of incoming materials to ensure conformance with specifications and standards.

Implement measures to prevent the acceptance of non-conforming or defective materials.

Monitor the condition of stored materials to prevent deterioration or obsolescence, and take appropriate action as necessary.

Documentation and Reporting:

Maintain organized and up-to-date records of all material transactions, including receipts, issuances, and adjustments.

Prepare regular reports on inventory status, consumption trends, and other relevant metrics for management review.

Assist in the development and implementation of inventory management policies and procedures to optimize efficiency and accuracy.

Compliance and Safety:

Ensure compliance with relevant regulations, standards, and internal policies governing the handling and storage of materials.

Maintain a clean and orderly work environment in the storage area, adhering to safety guidelines and protocols.

Participate in periodic safety inspections and audits, and address any identified issues promptly.

Qualifications and Skills:

Bachelor’s degree in supply chain management, logistics, business administration, or a related field.

Proven experience in inventory management, preferably in a warehouse or distribution environment.

Strong knowledge of inventory control principles, procedures, and best practices.

Proficiency in using inventory management software and Microsoft Office applications.

Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

Strong attention to detail and accuracy in record-keeping and documentation.

Effective communication skills, with the ability to collaborate cross-functionally and interact professionally with internal and external stakeholders.

Ability to work independently with minimal supervision, as well as part of a team.

Familiarity with safety regulations and practices related to material handling and storage.
