Job Description
Key Responsibilities:
1. Sales Order to Delivery Management:
Sales Order Processing: Ensure accurate and timely entry of sales orders into the system, verifying all necessary information (quantities, prices, shipping details, etc.) is correct.
Internal Coordination: Work closely with the production, warehouse, and logistics teams to confirm product availability and lead times for order fulfillment.
Shipment Scheduling: Coordinate with the logistics team to arrange for shipments, ensuring delivery timelines align with customer expectations.
Delivery Tracking: Monitor the delivery process from dispatch to receipt, keeping customers and the internal team updated on the status.
Problem Solving: Proactively address any issues or delays that may arise during the order fulfillment process, ensuring quick resolution to meet customer satisfaction.
2. Delivery to Customer Feedback:
Delivery Confirmation: Follow up with customers post-delivery to confirm that the product has been received in good condition and meets expectations.
Customer Feedback Collection: Engage with customers to gather feedback on the product and service, documenting insights to improve future processes.
Issue Resolution: Collaborate with customer service, quality control, or production teams to resolve any complaints or issues that arise after delivery.
Continuous Improvement: Share customer feedback with relevant teams and suggest improvements to enhance the sales and delivery process.
3. Executive Assistance to MD (Managing Director):
Meeting Scheduling: Manage the MD’s calendar, scheduling meetings with internal teams, clients, vendors, and external stakeholders.
Meeting Preparation: Prepare reports, presentations, and relevant documents needed for the MD's meetings.
Minutes & Follow-Up: Attend meetings to take minutes when necessary and ensure follow-up on action items with relevant teams.
Travel Arrangements: Organize travel bookings, accommodation, and itineraries for the MD’s business trips, meetings, or events.
4. Reporting and Coordination:
Sales Order Reports: Generate regular updates and reports on the status of sales orders, deliveries, and customer feedback for senior management.
Cross-Department Communication: Act as a central point of communication between the sales, logistics, and customer service teams to ensure smooth operations.
Meeting Action Tracking: Track and ensure the completion of action points from meetings with internal and external stakeholders.
Skills Required:
Strong organizational and multitasking skills.
Excellent communication and customer service abilities.
Experience in sales operations, order management, or logistics coordination.
Proficient in CRM, ERP systems, and office software (Excel, Word, etc.).
Ability to work directly with senior leadership and handle confidential information.
This role ensures smooth coordination from the time a sales order is placed to its delivery, followed by customer feedback management. It also provides high-level executive support to the MD for meetings and scheduling.
